Job Title: Events Coordinator
Status: Full Time Exempt

Benefits: Standard WFE Benefits are provided
Starting Salary Range: $35,000-$50,000 DOE

Supervisor: Marketing/Events Manager

ESSENTIAL JOB DUTIES Work as a team with the Executive Director, Marketing/Events Manager, Operations Manager and other staff to provide

excellent events, programs and facilities for our patrons and partners
  • Perform a variety of professional and administrative work in planning, developing, scheduling, directing, promoting, and
implementing a comprehensive year-round events program
  • Responsible and accountable for the planning, implementation and supervision of events produced by West Fargo Events

JOB DUTIES/TASKS

  • Reviews and evaluates the success of programs and makes recommendations for continuation or cancellation. Prepares
statistical and narrative reports.
  • Responsible for revenue management, developing budget projections and monitoring revenues and expenditures for
assigned programs, including specifying and purchasing materials and supplies.
  • Assists with program registration, rosters, mailings, and collection of fees.
  • Assists in preparation of grant applications and sponsorship requests to enhance events.
  • Collaborates, communicates, and assists in scheduling use of all facilities
  • Communicates internally within the departments regarding program operations, facility maintenance and scheduling.
  • Assist with the marketing and promotion of events through advertising, including the creation of seasonal brochures, news
releases, flyers, pamphlets and all public relation materials
  • Work with the Logistics and Operations team to lead set up for each event
  • Provides up-to-date information regarding events, programs and facility rental options
  • Direct activities to accomplish planned goals of the Organization
  • Support and enforce all policies, safety regulations and guidelines, established by the Executive Director and/or WFE Board
  • Safely operate all vehicles and other job-related equipment
  • Attend to emergencies when necessary
  • Perform related duties as required


KNOWLEDGE REQUIRED BY THE POSITION

  • Effective organizational and interpersonal communication skills
  • Evidence of superior written and oral communication skills
  • Demonstrated leadership within groups
  • Microsoft Office proficiency preferred
  • Requires high level of creativity and resourcefulness
  • Ability to manage multiple tasks with a variety of groups to include staff (full and part-time), volunteers, and public
  • Requires the ability to set and achieve goals through effective decision-making


GUIDELINES

  • Enforce the West Fargo Events Personnel Policies and Procedures. These guidelines are generally clear and specific, but
may require some interpretation in application


WORKING CONDITIONS

  • Office with computer and printer along with mobile, some manual labor required
  • Position will require ongoing occasional evening, weekend, and/or holiday work
  • Fast paced environment with multiple events running throughout the year
  • General public contact is extensive


MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Event Management, Recreation, Tourism or a combination of experience/education equivalent to 3
years full time management and administration in a related position
  • Sufficient experience to understand the basic principles relevant to the major duties of the position
  • Ability to work weeknights and weekends frequently
  • Ability to work independently with limited supervision on multiple tasks
  • Ability to lift a minimum of 30 pounds or heavier lifting with other employees
  • Ability to effectively communicate verbally and in writing
  • Knowledge of operational policies, procedures, accepted standards and methods of managing facilities and events
  • Possession of or ability to obtain (within 30 days) a valid driver’s license issued by the State of North Dakota for the type of
vehicles or equipment operated
  • Have essential physical and mental capabilities in the following: Interpersonal skills, memory, attention to detail, follow

directions, comprehension, calculating, reading, writing, speaking, evaluating, mathematics, organizing and innovation
