The Academic Coordinator is responsible for managing and supervising Saturday Academy on Saturdays and the Academic Component of the Summer Residential Program. This person will hire and supervise teachers as well as program students into classes. The Academic Coordinator will assist in identifying and selecting Upward Bound Participants, update the Upward Bound webpages and keep them current. Supervise academic tutoring and the delivery of core and rigorous curriculum courses. Travel to and from schools, communicate with students and parents, hire, train and supervise Upward Bound academic tutors. Collaborate with the high school and

university instructors and other staff, to develop and implement excellent college preparatory programs and support services at the target high schools, as well as for a summer on-campus academic program. Coordinate the development of academic year and summer curriculum, syllabi, class schedules, and teaching resources in accordance with program goals and objectives. Maintain professional level of confidentiality, and support with data collection and analysis for evaluation. Position requires weekend work and travel. This person will track the attendance and academic progress of students attending tutoring via report cards each marking period.

Essential Functions of Positions

  • Hire, supervise and train instructional staff for academic year and summer session
  • Hire, supervise and train tutors for academic year and summer session
  • Attend staff meetings
  • Must be present at tutoring sessions
  • Weekly check-in meetings with tutors
  • Weekly check-in meetings with instructors during summer residential program
  • Work at target schools (Tennyson, Oakland, Castlemont and Fremont High School) Tuesday through Thursday during the academic year
  • Track report cards
  • Parent outreach - including but not limited to personal calls, emails, texts, home visits etc.
  • Student outreach - including but not limited to personal calls, emails, texts, home visits etc.
  • Coordinate the development, planning and implementation of academic program services and activities
  • Create, develop, and implement curriculum for college readiness workshops, Saturday Sessions and summer academic experience
  • Coordinate academic component during summer residential - including but not limited to study hall and academic workshops
  • Coordinate test prep classes/workshops
  • Provide small group and individual academic advising related to college readiness
  • Plan cultural and social enrichment activities
  • Organize and coordinate fieldtrips
  • Attend and chaperone college tours
  • Outreach to the community and organizations for workshops and collaboration
  • Coordinate and implement pre-professional STEM internship program
  • Data input for program database and annual performance report (APR)
  • Secure Tutoring Space at Target Schools
  • Secure Saturday Academy Space with Administrative Coordinator
  • Analyze and evaluate services to determine the effectiveness of the program and make changes as needed


Education, Experience and Skills

  • Bachelor’s Degree in a related field from an accredited institution, plus 3 years of experience working with youth and program development or related work experience. Teaching experience (teaching credential) preferred.
  • Effective oral and written communication skills
  • Knowledge of Microsoft Word, Access, Excel,
  • Knowledge and experience working with tracking databases used within the school districts and program (such as Aeries, studentaccess, etc.)
  • Excellent organization and management skills
  • Must possess sensitivity to the needs of Upward Bound students as well as the ability to develop curriculum that addresses cross-cultural awareness.
  • Share a life experience similar to Upward Bound students and/or who have experience in working with students from disadvantaged backgrounds.

The Academic Coordinator will work at Holy Names University and our target schools in the Oakland and Hayward Unified School Districts.
