Academic Records Specialist/Transcript Evaluator
Southeastern Oklahoma State University's Registrar’s Office invites applications for the position of Academic Records Specialist/Transcript Evaluator.
SUMMARY
This position will support the Registrar’s Office by serving as an Academic Records Specialist/Transcript Evaluator for the office. The primary responsibilities will be to coordinate the transfer transcript evaluation/course equivalency project, update credit equivalencies and substitutions, and assist the Registrar with graduation applications. May also greet and assist students as they call or come to the Registrar’s Office helping them with transcript requests, graduation appointments, and any other records related requests.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Transcript Evaluations. Develops and coordinates process for transfer credit evaluations. Includes developing online process for students to submit requests to review equivalencies or substitutions which would route to appropriate academic departments for approval. Once approved, responsible for updating those approvals in Degree Audit so the changes are available for advisors.
· Graduation Application Process. Collects and enters data regarding graduation applications and any updates/changes to a student’s degree plan in Degree Audit. Assists the Registrar with final graduation checks and processes.
· Courses Equivalencies. Coordinates process to maintain course equivalencies in Colleague from the OSHRE Transfer Equivalency Project and the Texas Common Core numbering project. Performs yearly updates on equivalencies to make sure they are current in the system.
· Enrollment. Process enrollments drop/adds, cancellations, and complete withdrawals.
· Transcript Scanning. Responsible for logging and scanning incoming transfer transcripts. Includes identifying if student has applied and/or previously attended SE, verifying school’s accreditation, entering information in IASU, and scanning/indexing in document imaging system.
· End of Semester Grades. Assists with final degree review and conferrals for students who have applied for graduation. Assists in checking miscellaneous lists after grades for academic notice, probation suspension, President's Honor Roll, Deans' Honor Roll, etc.
· Receptionist. Assists with student questions and/or directs them to appropriate person. Performs clerical duties as needed including filing, answering phones, and assisting fulltime employees. Troubleshoots questions to determine what student needs.
· Manages the transcript and registrar email accounts.
· Other duties as assigned.

4. Safety: Employee works safely, attends safety training offered/required, and follows appropriate safety rules and regulations. In relation to level of NIMs training completed, participates in incident management preparation, and performs incident duties as assigned.
MINIMUM EDUCATION, TRAINING, AND EXPERIENCE
REQUIRED: This position requires the execution of responsibilities with minimum direct supervision and with considerable initiative. The individual must be able to work in an environment of constant interruption. A commitment to diversity and demonstrated ability to work with diverse persons. Must be proficient in MS Office. High school diploma required.
PREFERRED: Bachelor’s degree or higher education experience.

Salary will be commensurate with qualifications and experience. The preferred start date is January 3, 2023. Review of applications will begin immediately and continue until filled.
