General Statement of Duties
Incumbents of positions in this series examine accounting data, prepare financial documents and transactions, maintain accounting records and perform related work as required.
Performs all functions related to the daily operations of accounts payable activities and serve as primary contact for the College community in support activities. The incumbent will ensure the timely and accurate payment of invoices in accordance with policies and procedures; maintain various accounting records and reporting schedules and conduct reconciliations to ensure compliance. Works with administration to review and support process improvements and automation.
Responsibilities

  • Reviews and processes all accounts payable vouchers ensuring compliance with college and state guidelines and acts as liaison with vendors and internal departments in resolving vendor issues.
  • Reconciles and processes invoices for all accounts payable checks.
  • Enters accounts payable transactions into payment system(s).
  • Reviews and research variance in general ledger accounts using Banner system assisting cost center heads with accounts payable questions.
  • Prepares general, adjusting, and correcting journal entries.
  • Maintains records for complex allocation charges and usage which require technical accounting skills.
  • Ensures compliance of cash management policy set forth by College Policy.
  • Prepares miscellaneous tax forms required by State & Federal law.
  • Coordinates the Accounts Payable Department Record Retention Process.
  • Works actively with other areas of the college to ensure a spirit of college-wide collaboration, collegiality, civility and teamwork.
  • Embraces and supports the principle that "diversity is everybody's business" through the daily performance of duties and responsibilities.
  • Confers with agency personnel and outside agencies by telephone, in writing or in person to resolve accounting discrepancies and/or obtain statistical data and documentation for various reports and/or projects.
  • Prepares financial statements and reports and maintains accounts and records such as lease schedules, aging reports, and recurring payment schedules.
  • Performs other job related duties as required or assigned.

Job Requirements:**
MINIMUM QUALIFICATIONS*

  • Applicants must have at least (A) one year of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) two yeas of full-time, or equivalent part-time, paraprofessional experience in accounting or auditing, or (C) any equivalent combination of the required (A) experience and the substitutions below.

Substitutions:
I. An Associate's or higher degree with a major in accounting, business administration or business management may be substituted for the required (A) experience.*
II. Successfully completed education in accounting or business administration in a recognized business school or school of accounting may be substituted for the required (A) experience on the basis of one year of such education above the high school level or six (6) months of the required (A) experience.*

  • Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: No substitution will be permitted for the required (B) experience.
DESIRED QUALIFICATIONS:

  • Experience with Accounts Payable
  • Experience with automated accounting systems
  • Technical aptitude to work within automated systems

Salary: $47,338.98- $66,525.68

  • An appointment made from outside the bargaining unit must be made at step one of the salary range.
