Location: Sacramento, CA (hybrid-home/office)
SALARY RANGE (Depending on Experience): $20.64 hr - $30.22 hr
We base salary and position offers on experience and an internal equity analysis.
Employment Status: Non-Exempt; Regular; Full time (37.5 hrs)

PURPOSE OF THE JOB
This position is responsible to and supervised by the A/P Supervisor or designee, provides administrative and clerical assistance to the Accounting Unit, and performs Accounts Payable duties as outlined below.

JOB RESPONSIBILITIES
Essential functions include:
Administrative and Clerical Assistance
1. Process incoming and outgoing mails and daily cash receipts.
2. Assemble A/P check runs, mail checks, copy, scan, and file vouchers.
3. Scan and file payroll-related documentation.
4. Develop and maintain spreadsheets and update databases for accounting related items.
5. Type correspondence and accounting forms, make travel and meeting arrangements for accounting staff, issue purchase orders and create accounting forms as needed with accessibility standards.
6. Order accounting supplies and maintain inventory.
7. Maintain accounting calendar and follow up on deadlines.
8. Participate in staff meetings, trainings, and outreach activities.
9. Provide backup support to other accounting staff.
10. Perform other duties as assigned.
Accounts Payable
11. Ensure invoices are accurate, properly documented, and approved by the authorizing employee prior to making a payment.
12. Analyze, prioritize, match, code, and enter accounts payable invoices and vouchers into accounting system on a timely basis.
13. Prepare and data entry of journal vouchers.
14. Communicate with vendors, suppliers, and employees to answer inquiries and research discrepancies.
15. Perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
MINIMUM QUALIFICATIONS
Education and Experience
High school diploma or general education degree (GED); plus 1-2 years related experience in accounting and/or business practices.
  • Minimum of two years’ experience with word processing and spreadsheet software in a Windows environment (preferably MS Office software).
  • Experience performing general administrative/clerical work, and ability to organize and prioritize multiple tasks with varying or conflicting deadlines and work well under pressure with minimum supervision.
Licenses / Certificates
This position has no licenses or certificates requirements.
PREFERRED QUALIFICATIONS
  • Experience and knowledge of Generally Accepted Accounting Principles (GAAP), accounting terminology, practices, and procedures.
  • Proficient knowledge of Windows based computer applications including Internet access and Microsoft Office Suite, including intermediate or greater knowledge in Excel and Word, including pivot tables, VLOOKUP, etc.
  • Experience using MIP or other enterprise accounting software.
TRAVEL REQUIREMENTS
Ability to travel infrequently for activities such as training or outreach activities up to 10% of the time.
WORKING CONDITIONS
The following describes general working conditions and requirements of the job, which can be performed with or without disability related reasonable accommodations. Duties are performed in a multi-person office environment. Duties regularly require sitting, using computer equipment, and talking or hearing. Duties occasionally require periods of standing, stooping, kneeling, and crouching primarily related to filing and processing paperwork. Weights to be lifted and/or moved of filing boxes and other packages up to 25 pounds are occasionally encountered.
High speed internet connection is required to work for us.
