Definition

Under general supervision from the Accounting Manager (A/P), performs a variety of accounts payable functions of a highly skilled and responsible nature within the Finance Department. This job class is treated as non-exempt.

Distinguishing Features: The Accounts Payable Clerk III concentrates efforts on accurate and timely review and payment of all SRPMIC payables.

Examples of Tasks

Tasks:

1. Accounts Payable: Reviews invoices, vouchers, and statements for accuracy.


  • Reconciles outstanding invoices on vendor statements to invoices vouchered in PeopleSoft.
  • Accurately processes invoices with regard to the invoice number, accounting period, invoice date, due date, and provides a good translation of description of services rendered.
  • Uses workflow notification process for instances where target department input is necessary in order to successfully accomplish payment of an invoice.
  • Requests permission to direct pay an invoice when but no response is being received from the target department.
  • Sends timely workflow notifications to departments responsible for invoices.
  • Documents status of vouchers and statements by entering supplier conversations.
  • Ensures that supplier conversations are kept current.
  • Requests revised invoices if vouchers display illegible detail.
  • Processes construction invoices allowing for retention (amounts held from vendor payments until the job is satisfactorily completed) as appropriate / indicated.
  • Monitors SharePoint site for credit memos and manually processes credit memos uploaded by suppliers.
  • Validates invoices through KnowledgeLake.

2. A/P Administration: Handles administrative task as assigned.
  • Serves as backup to AP Clerk (phone, email, and USPS regular mail) when necessary.
  • Assist with quarterly per cap, senior gifts, or lease payout distributions when requested.
  • Assists with stale check research as assigned.
  • Assists other AP roles with tasks as assigned.

3. Miscellaneous: Performs other tasks as assigned by the A/P Manager, Senior AP Specialists, or the Finance Director.

Knowledge, Skills, Abilities, and Other Characteristics:
  • Knowledge of the history, culture, laws, customs and traditions of the SRPMIC.
  • Knowledge of accounting principles, practices, procedures and related computer applications.
  • Knowledge of the procedures, methods and forms associated with automated accounts payable systems.
  • Knowledge of customer service principles and techniques.

  • Skill using the Community’s ERP software as well as the personal computer and related software including MS Office.
  • Skill entering, accessing and retrieving information from the Community’s ERP system or computerized filing system (i.e. network directories, SharePoint sites).
  • Ability to develop and maintain positive and effective working relationships with all levels of the department and Community.
  • Skill communicating verbally with other employees and the public including responding accurately, promptly and courteously to customer inquiries and concerns.
  • Skill researching information from a variety of sources and making recommendations for action.
  • Skill making accurate and prompt mathematical calculations.

  • Ability to develop and maintain positive and effective working relationships with all levels of the department and Community.
  • Ability to communicate effectively and produce clearly organized written documents.
  • Ability to perform detailed work for prolonged periods.
  • Ability to adapt to changing work situations, assist others and meet schedules in a professional, calm, efficient and effective manner while dealing with interruptions and pressure.
  • Ability to comprehend and follow complex written and verbal instructions and procedures.
  • Ability to operate a variety of standard office equipment including scanners, photocopiers, and FAX machines.

Minimum Qualifications

Qualifications:
Education & Experience: High school diploma or GED, successful completion of a post high school course in Accounting or a closely related area and experience equivalent to 3 years of full-time accounts payable or comparable clerical accounting work.

Equivalency: Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered when filling the position.

Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill

Special Requirements

May be required to work beyond normal work hours including nights, weekends and holidays. Must be willing to serve as a backup to other AP clerk positions.

Prior to hire as an employee, applicants will be subject to drug and alcohol testing. Will be required to pass a pre-employment background/fingerprint check. Employees are subject to random drug and alcohol testing.
