Accounts Payable Manager
JOB PURPOSE: To deliver on the mission of wilco by providing accurate and timely financial information.
Job Overview:

  • The Accounts Payable Manager is responsible for the monitoring, evaluation, and development of the Accounts Payable team.
  • Evaluate all accounts payable processes and determine opportunities for improvement while evaluating internal controls and opportunities for efficiencies.
  • Develop a culture within the Accounts Payable department to maximize productivity and teamwork.
  • Manage the daily operations of the Accounts Payable team, as well as the annual performance reviews for all team members and any other managerial duties as required.
  • The Accounts Payable Manager is also responsible for various activities associated with the accounting for accounts payable transactions. (Examples include various corporate accounting functions in accordance with GAAP, ensuring the integrity of accounting information, aging analysis, maintenance of accounts payable schedules, and audit functions related to accounts payable.

Responsibilities:

  • Manages daily operations of the Accounts Payable department and provides staff members with guidance, expectations, and annual performance evaluation.
  • Communicate expectations with outside departments in processing document imaging and ERP Software.
  • Review and evaluate workflow processes. Design workflow changes and execute.
  • Review GL account coding for accuracy, ensures expense coding is posted in the proper period, manage the Accounts Payable aging, manage and maintain vendor files, and review weekly payments.
  • Oversees month-end accounts payable processing and manages the accounts payable team to meet department deadlines.
  • Maintain and balance subsidiary accounts by verifying, allocating, posting, and reconciling transactions, resolving discrepancies to General Ledger.
  • Supports Accounting Dept with fixed asset accounting, including acquisitions, disposals, transfers, and maintenance.
  • Assures real-time processing for cash transactions and assures revenues and expenses are recorded in the proper period.
  • Financial and regulatory tax audits.
  • Assist with preparing and/or review of fuel and sales tax returns. Has thorough knowledge of Use Taxes for applicable states and provides guidance and training to the Accounts Payable team.
  • Complete & file various state tax & excise report
  • Assist with the annual budget; monthly and year-end closing.
  • Support accounts payable, customer care, management, and location managers to resolve general ledger issues/questions (coding, balancing, reports, etc.).
  • Manage weekly check run process for Wilco & subsidiaries.
  • Recruit, train, supervise and develop AP staff. Conduct orientation for new hires.
  • Assist the Corporate Controller with monthly financial statements, year-end closing and audit, and annual budgeting process.
  • Manage Advanced Receiving and various modules for AP processing.
  • Accrue AP Prepaid accounts.
  • Complete annual 1099
  • Influence sourcing and selection of technology to streamline AP processes
  • Other responsibilities/tasks as assigned.

Special Skills/Training:

  • Ability to analyze and solve problems logically.
  • Organized, and methodical, with high attention to detail.
  • Understanding of accounting, full accounts payable cycle, and reconciliations.
  • Strong computer skills (MS Office Suite) and strong knowledge of ERP systems.
  • Willingness to work a flexible schedule (required).

Experience/Education:

  • BS/BA Degree in Accounting or Business Management preferred.
  • 5 years of experience with general ledger and accounting experience.
  • Management experience preferred

Working Conditions:

  • Hybrid work environment. In-office expectation during regular hours 2-3 days per week.

Job Type: Full-time

Pay: $76,939.20 - $85,488.00 per year
