Major Duties and Responsibilities

  • Receive and screen all visitors and telephone calls to the City Manager's Office, providing information and handling issues that may require sensitivity and sound independent judgment.
  • Respond to requests for information and refer certain requests and complaints from officials, customers, and the public to appropriate staff for resolution.
  • Review and distribute incoming mail.
  • Perform data entry and maintain databases for Office programs and surveys.
  • Review and compile data for City programs.
  • Input data, maintain logs, and generate regular program reports.
  • Using word processing software, compose routine and/or type memoranda, correspondence, reports, presentations, forms, and other documents often of a highly sensitive and confidential nature.
  • Proofread and check typed and other materials for accuracy, completeness, and compliance with City standards, policies, and procedures.
  • Ensure materials, reports, and documents for signature are accurate and complete.
  • Assist as assigned in maintaining calendars for the City Manager, Communications and Community Affairs Director, and Director of Columbus Family Connection Coalition.
  • Schedule and confirm meetings and appointments.
  • Screen requests for appointments.
  • Make and confirm travel arrangements as assigned.
  • Make arrangements for meetings and conferences.
  • Create, curate, and manage social media content.
  • Attend board meetings and create minutes for each meeting.
  • Attend various events/meetings during and outside of work hours.
  • Assist with Social Media Presence for the Office of City Manager Facebook/Columbus Consolidated Government to include all social media outlets.
  • Must be a team player with a positive can-do attitude, willing to learn additional tasks and help colleagues as needed.
  • Professional phone voice & phone etiquette.
  • Perform related tasks as required.

Knowledge, Skills and Abilities

  • Principles and practices of effective customer service and customer-oriented telephone etiquette
  • Office administrative practices and procedures, including file and document management procedures and practices.
  • Correct English usage, including spelling, grammar, and punctuation.
  • City organization and basic information regarding ordinances, rules, policies, procedures, and operating practices applicable to providing telephone reception.
  • Advanced uses of word processing, graphics, spreadsheet, database, and other software to create documents and materials requiring the interpretation and manipulation of data.
  • City administrative policies and procedures applicable to areas of assigned responsibility, including the requisitioning, and purchasing of equipment and supplies and maintenance of public records.
  • Knowledge of creative software programs to create material to be distributed.
  • Handle stress effectively without it interfering with performance.
  • Organize, set priorities, and exercise sound independent judgment within areas of responsibility.
  • Operate a computer, using word processing, spreadsheet, database software, and other standard office equipment.
  • Communicate clearly and effectively, both orally and in writing.
  • Assist with Social Media Presence for the Office of City Manager Facebook/Columbus Consolidated Government to include all social media outlets.
  • Must be a team player with a positive can-do attitude, willing to learn additional tasks and help colleagues as needed.
  • Interpret, apply, explain, and reach sound decisions in accordance with regulations, policies, and procedures.
  • Type accurately at a speed necessary to meet the requirements of the position.
  • Maintain strict confidentiality of privileged information.
  • Use a high degree of tact, diplomacy, and discretion in dealing with sensitive and confidential situations and concerned internal and external parties.
  • Establish and maintain highly effective working relationships with the Mayor, City Council members, other elected and appointed officials, department directors and managers, staff, residents, representatives of civic and community groups, the media, the public, and others encountered in the course of work.

Minimum Educational and Training Requirements

Associate degree required. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for three years. Possession of a valid driver’s license; ability to become a Notary Public.

Physical Requirements

The work is typically performed while sitting at a desk or table. The employee must occasionally lift light objects. Additionally, the following physical abilities are required:

  • Reaching – extending hands or arms in any direction.
  • Repetitive Motion – substantial movements of wrists, hands, fingers.
  • Speaking – expressing ideas with spoken word, convey detailed, important instructions accurately, concisely.
  • Standing – for sustained periods of time.
  • Talking 1- expressing ideas by spoken word
  • Visual Acuity 1 - prepare, analyze data, transcribing, computer terminal, extensive reading.
  • Visual Acuity 2 - color, depth perception, field of vision.
  • Visual Acuity 3 - determine accuracy, neatness, observe facilities/structures.
  • Walking - on foot to accomplish tasks, long distances, or site to site.

The work is typically performed in an office, library, or computer room.
