Job description

- Maintains office files and computer database.
- Prepares reports, presentations, memorandums, proposals, itinerary for weekly meetings, and other work-related correspondence and documents.
- Answers office phones, takes messages, transfers call or leaves email notifications to appropriate parties. Greets clients and office visitors, and interacts with suppliers, visitors.
- Maintains company database thru company CRM services.
- Schedules appointments and meetings.
- Opens daily incoming mail and routes mail to appropriate individuals.
- Provides administrative/clerical assistance to ensure daily workload is completed in a timely manner.
- Makes transportation and travel arrangements as needed.
- Develops and processes emails as directed as needed or directed.
- Assists with creating and preparing listing packages and presentations.
- Maintains contact with agents and other assistants to ensure quality control of files and/or transactions.
- Inputs all information into MLS (Multiple Listing Service) and uploads any/all pictures.
- Orders photography and video
- Position requires approximately 10% travel annually using personal vehicle to attend off-site meetings and Company-sponsored events.
- Excellent attendance and dependability is an essential requirement of this job.
- Performs a variety of miscellaneous administrative and clerical job duties, as directed.
- Provides administrative/clerical assistance office staff
- Other duties as needed within the scope of administrative duties.
- Continuously improve administrative systems and processes, consistent with internal policies and procedures
- Conduct new hire orientation and process all required paperwork
- Conduct audits of personnel sales
- Perform general administrative support functions such as customer service, record-keeping, file maintenance, etc.
- Prepare written communications and maintain accurate records and documentation, including power point presentations, excel spreadsheets, word documents (flyers, memos, letters, etc.)
- Maintains confidentiality in all aspects of position related to personnel information and communications associated with the work performed.
- Manages the schedule of the CEO, including meetings, travel and speaking engagements.
- Social media management-creative and engaging
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Job Types: Full-time, Part-time
Pay: $17.00 - $20.00 per hour

Experience:
- Microsoft Excel: 3 years (Required)
- Microsoft Powerpoint: 1 year (Preferred)
