The Administrative Assistant provides administrative/secretarial support to four senior leaders (Senior Director to Sr. Vice President). Requires the ability to proactively handle multiple simultaneous activities, in an organized and effective manner, within a fast-paced environment. Assures correspondence and communication is handled quickly, efficiently and professionally. Takes the initiative to inform manager of status of projects and to assure all activities are meeting the support and needs of the department.

Essential Duties and Responsibilities

  • Provide administrative support including typing, transcribing, dictation, filing, copying, faxing, preparing presentations slides, and answering the phone.
  • Works from verbal and written input to accurately and timely complete assignments of varying complexity involving interaction with company and corporate managers, customers and business associates.
  • Maintains calendar/meeting schedules to ensure the timeliness and preparedness of meetings with appropriate responses sent in a timely manner and supports meeting setup.
  • Uses strong organizational skills to assure projects and assignments are completed on time fashion and information is organized and readily available.
  • Arranges travel schedules including flight arrangements, hotel accommodations, ground transportation and meeting planning for executives.
  • Process payment of corporate department invoices; travel related expense reports, purchase requisitions, check requests, and shipping requests.
  • Initiates, composes, types and transmits documents and correspondence within the limits of authority. Processes/routes incoming correspondence.
  • Compiles information and prepares reports and correspondence based on verbal instructions. Performs research of varying issues.
  • Handles highly sensitive information pertaining to business, legal, financial and intellectual property issues, maintaining confidentiality regarding this information.

Education/Experience:

  • High school diploma required; AA degree or equivalent preferred.
  • Minimum 5 years experience as an Administrative Assistant/Secretary to an executive in a commercial business environment.
  • Requires demonstrated proficiency in Microsoft Office System, including Word, Excel, PowerPoint, Outlook, and Microsoft Windows® operating system.
  • Ability to type 65 WPM.
  • Requires strong organizational skills

Language Ability: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

Ability to write reports, business correspondence, and procedure manuals.

Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, percentages. Ability to apply concepts of basic algebra.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills: Requires demonstrated proficiency in Microsoft Office System, including Word, Excel, PowerPoint, Outlook, and Microsoft Windows® operating system.
