FJ Management is seeking a full-time Executive Assistant to help manage the needs of the Executive Leadership Team. FJ Management. FJ Management is a holding company with offices in downtown Salt Lake City, Utah which owns Maverik, Inc., Big West Oil LLC, WellQuest Living with locations in California, and an in-house investment company.
Responsibilities:
- Provide administrative support to Chief of Staff and Executive Leadership Team (ELT)
- Answers phone calls, schedules meetings and supports visitors
- Reconcile and submit expense reports
- Coordinate travel arrangements for executives, providing detailed itineraries and meeting materials
- Provide calendaring support for ELT
- Coordinate meetings and lunches, includes meeting room setup, ordering, and clean up
- Create reports, memos, presentations, and other documents
- Assist with company events and private events, including planning, invitations, event set up, catering, and clean up
- Organize and maintain files and databases in a confidential manner
- Exhibits polite and professional communication via phone, e-mail, and mail
- Ensure operation of office equipment by completing preventive maintenance requirements and calling for repairs if needed
Skills:
- Proficient computer skills, including Microsoft Office
- Strong verbal and written communication skills
- Must be highly organized and detail oriented
- Proactive, enthusiastic, energetic, positive, and enjoy a variety of tasks, supporting a team of professionals who have a wide range of projects and responsibilities
- Committed to accuracy and attention to detail
- Must be flexible and able to deal with changing priorities and handling multiple tasks simultaneously
- Process sensitive data and handle all correspondence and dictation with uncompromised integrity and confidentiality
Qualifications:
- Must have typing skills of at least 60 wpm
- 1-3 years of clerical, secretarial, or office experience
- High school diploma or GED required
