Major Responsibilities:

Supervises the daily operations throughout the offices of the President and Vice President, maintain a complete knowledge of basic office procedures and is in charge of the use and operation of the copy and fax machines.

Specific Duties and Responsibilities:

  • Responsible for supervising assigned job duties to administrative assistants and prioritizing workloads.
  • Provides guidance and coaching to the other Administrative Assistants and Federal Work Students, trains all new incoming Administrative Assistants as well as provides any necessary additional training to current staff.
  • Perform basic word processing or typing.
  • Controls all campuses inventory
  • Keeps track of the Athletic Department budget and travel.
  • Perform electronic mail tasks.
  • Maintain appointment schedules and arrange meetings and conferences.
  • Handles daily office operations.
  • Participates in the hiring process of administrative assistants
  • Accountable for receiving and delivering the incoming faxes to the different departments within the University.
  • Responsible for making photocopies of exams and handouts for the members of the faculty.
  • Responsible for destroying all sensitive documents that have been outdated.
  • In charge of answering the telephone and taking messages for the President and Vice-Presidents.
  • Keep track of calls and documentation related to those calls.
  • Write letters, memos, documents and lists as requested.
  • In charge of all President's out mailing.
  • Cooperate in any special event prepared by the administration.
  • Assist with the Board of Governors documentation.
  • Assist with the Budget's documentation.
  • Support and participate in University’s Commencement Ceremonies.
  • Participate in the self-studies and committees conducted by the university.
  • Participate in the new students’ orientation.
  • Performs any special project assigned by the President or supervisor.
  • Performs other duties as assigned.
  • Manages calendars, responds to email and phone messages, assists with customer requests and questions, coordinates meetings, compiles meeting materials and documents, creates presentations, books travel and provides executive staff with support as needed.
  • Ensure they are in compliance with Title IX of Education Amendments Act of 1972.
  • . Follow all FNU Policies, Procedures, Rules and Regulation and the FNU Code of Ethics. As well as, Title IX, Family Educational Rights and Privacy Act, as amended from time to time (“FERPA”), Florida Information Protection Act of 2014, as amended from time to time (“FIPA”), the EU General Data Protection Regulation as amended from time to time (GDPR) and all other applicable federal, state and local laws, rules, and regulations.
  • Read, understand and comply with the University’s mission, the catalog, the University’s policies and procedures, the Staff Handbook and institutional effectiveness process.
  • Responds to communications (email/voicemail) on a daily basis.

This is a set schedule:

  • 2 days from 8:00am to 5:00pm (Monday to Thursday); and
  • 2 days from 12:00pm to 9:00pm (Monday to Thursday); and
  • Schedule will alternate on Fridays from the times listed above

Requirements:

  • Associate-level degree REQUIRED.
  • Bachelors or Master preferred
  • English language fluency REQUIRED
  • Spanish language full working proficiency REQUIRED
  • Excellent verbal and written communication skills.
  • Motivated critical thinker who takes imitative.
  • Detail oriented and strong organizational and multi-tasking skills.
  • Strong proficiency in Windows and Microsoft Office, including but not limited to Word, Excel, Power Point, and Outlook.
  • Ability to work with highly sensitive or confidential information.
  • Ability to meet deadlines and work well under pressure.
  • Ability to work in a team environment as well as independently and be self-driven
