Job Summary:
Reporting to the Chief of Staff, the Administrative Assistant will handle day-to-day operations of the office and provide administrative support to the Chief of Staff and the Executive Leadership team. Responsibilities include handling information requests and performing clerical functions such as preparing correspondence, coordinating visitors, assisting with planning events within and outside of the office. The Administrative Assistant will also be responsible for office inventory control and supply ordering. Were looking for an energetic professional who doesn’t mind wearing multiple hats.
Essential Functions:
  • Serves as the company’s receptionist, greeting all visitors and directing them to their appropriate locations or team members
  • Support the Chief of Staff and Executive Leadership team, as needed
  • Review incoming correspondence, including mail, faxes and e-mail, and route accordingly. Responsible for sorting and delivering company mail
  • Draft and edit memos, letters, e-mails, presentations, communication, and other documents
  • File and retrieve corporate documents, records, and reports
  • Perform general duties such as ordering office supplies, equipment and maintaining records and files
  • Responsible for maintaining inventory of office equipment
  • Assist in preparing for meetings and record, type and distribute meeting minutes
  • Coordinate and plan all visitors and guests
  • Assists in the coordination of company events
  • Manages the company’s Paid Time Off calendar
  • Assists with a variety of scanning and filing projects
  • Assists in the processing and maintenance of expenses in the company’s travel and expense reimbursement software
  • Assists with travel planning and scheduling on behalf of the business
  • Reconcile invoices
  • Manage various vendor accounts and relationships (Cleaning vendor, Staples, etc.)
  • Provide general administrative support, as needed
  • Other duties as assigned based on business needs
Skills & Qualifications:
  • High school diploma is required, associate’s degree or bachelor’s degree is preferred
  • Prior experience in a similar role >1 year is desired but not required
  • Flexible and adaptable to a fast-paced environment where priorities shift frequently
  • Self- motivated with the ability to work independently
  • Professional level verbal and written communication skills
  • Ability to organize a daily workload by priorities and a super attention to detail
  • Ability to manage sensitive situations with a high level of confidentiality
  • In-depth understanding of entire MS office Suite
  • A proactive approach to problem-solving with strong decision-making skills

Physical Demands: This position is required to talk in person or on the phone. Ability to continuously stand or walk, bend, squat and occasionally lift up to 25 pounds.
Work Environment: This job also operates in a professional office environment and uses standard office equipment, such as computers, phones, copiers, filing cabinets, fax machines.
