Duties / Responsibilities:
- Assist in the preparation of presentation materials; preparing correspondence, letters and memos from hard copy, using form letters, and/or drafting content as requested.
- Arrange the shipment of class supplies to the student's home station after successful graduation from courses.
- Plan and execute graduation ceremonies which include facility coordination, travel arrangements for guests, and the production of certificates of graduation.
- Provide guidance to students on requests for transcripts and course syllabi, and completion of student forms including verification and audit of student forms for accuracy and completeness prior to submittal.
- Assist the Subject Matter Experts (SME) in the development of policy documents.
- Assist staff instructors and guest instructors with logistical support, classroom supplies, clearances, and travel arrangements.
- Prepare classrooms for training programs to include ordering student supplies, scheduling, classroom set up and revision and preparation of training materials.
- Coordinate and schedule various meetings and conferences in support of the Chiefs/Managers, to include preparing agendas and reports, recording meeting minutes and disseminating relevant information after meetings and conferences.
- Research, verify and compile information to provide full subject coverage.
- Develop and edit regularly scheduled draft status reports, as requested.
- Work with senior managers and operating offices regarding incoming inquiries, establishing deadlines, compiling information, and preparing resulting correspondence as needed.
- Mange and compile Workman’s Comp Files for students and staff.
- Correspond with Regional personnel and Regional Training Program Managers (RTPMs) to retrieve data for reports, retrieve roster data and registration information.
- Work within various Learning Management Systems or other software systems for the tracking, registering, managing training or other training related activities owned by the agency.
- Establish, maintain, and monitor a variety of records to include purchase card folders, correspondence and statistical data regarding the administrative services provided by the division.
- High school diploma or a General Equivalency Diploma (GED) from an accredited institution recognized by the U.S. Department of Education.
- Active Public Trust clearance or the ability to obtain and maintain one.
- Two (2) years of administrative experience in an office setting, performing duties similar in scope.
- Two (2) years of demonstrated experience with Microsoft Window based computer operating systems and Microsoft Office programs to include Word, Excel, Access, and Outlook email system, as well as Scanners, Printers and Copiers.
- COVID-19 vaccination unless an approved medical or religious exemption is granted.
- Previous experience in federal government budget, acquisition, purchase card programs, federal government pay and travel regulations and systems.
- Previous Executive Assistant experience supporting C-Suite.
- Previous government contracting experience.
