The Office of the Executive Secretary, Supreme Court of Virginia, is seeking an Administrative Assistant to provide administrative support to the Office of the Executive Secretary in a fast-paced office. The successful candidate will have excellent organizational and problem-solving skills; will demonstrate outstanding customer service skills; and should have some experience planning and executing events. The ability to successfully deal with persons at the highest levels of state government, including Justices and judges at all levels of state courts, is critical. A strong knowledge of general office procedures and the ability to act as a liaison for other entities interfacing with the Supreme Court are important. Strong interpersonal skills and the ability to work rapidly under short deadlines are also necessary. The successful candidate can manage competing priorities, anticipate needs, and work independently, but also successfully within a team. Knowledge of the court system is helpful. The ability to establish and maintain effective working relationships with Justices, judges, and court employees, as well as state officials and the public, is important. Proficiency with Microsoft Office Suite is required.

Essential Duties and Responsibilities:
Serve as assistant to the Office of the Executive Secretary, whose duties are to prepare correspondence; proofread and obtain signatures on various documents; coordinate business travel logistics and reimbursements; answer telephone calls; maintain records for annual Conflict of Interest filings; and prepare for meetings. This assistant will oversee the use of agency fuel cards; assist with building access requests; maintain an electronic office phone directory; provide account management and equipment maintenance for copiers, UPS, and postage accounts; secure meeting room reservations; procure meeting supplies; and perform facilities management duties (coordinate with Department of General Services for maintenance and housekeeping needs). Provide coverage and support for the receptionist during their breaks and absences by answering multi-line switchboard.
Minimum Qualifications
Bachelor’s Degree and previous administrative experience in state government preferred. High school diploma or equivalent required with previous administrative experience sufficient to demonstrate essential knowledge, skills and abilities may be considered.
