Purpose:
The purpose of this position is to provide administrative support necessary for the effective management of the Center Operations and overall support of the program.
Job Duties:
- Responsible for ensuring accurate and timely processing of all assigned work orders, requisitions, purchase orders, center supply orders, check requests, and other documents pertaining to center operations
- Provide clerical support to Center Manager with creating flyers, typing memos, taking meeting minutes, preparing agendas, running reports, and assisting during the staff evaluation period for the effective and efficient operation of the Head Start program.
- Maintain assigned filing requirements to ensure timely retrieval of information as needed.
- Support all business functions and special events conducted to ensure program effectiveness.
- Assist center manager with submission of monthly volunteer information, in-kind and NFS records, disaster drills (fire, tornado, and emergency lockdown), collecting co-pays and bank deposits.
- Provide payroll support.
- Monitor sign-in/out sheets for center staff to identify tardiness and absences and match timesheets with leave requests.
- Provide customer service, answer the telephone, greet visitors, vendors and parents, and sort, distribute and monitor internal and external mail.
- Oversee the sign-in and sign-out system for the center.
Formal Education and Experience:
- High school diploma/GED with 2 or more years’ experience in a fast-paced office setting.
Required Knowledge, Skills, and Abilities:
- Knowledge of Microsoft Office products –Word, Excel, PowerPoint, Publisher, clerical practices, standard office equipment.
- Organizational skills, ability to problem solve, excellent verbal and written communication skills, ability to multi-task and manage time effectively.
Physical Demands and Working Conditions:
- Ability to lift up to 20 pounds
- Requires extensive standing, bending, walking, and sitting at a computer terminal.
- Requires the ability to travel to a remote site as needed.
