We have a full-time opportunity available for an Administrative Assistant I to join our busy law office. This broad-based role is responsible for preparing, completing and reviewing correspondence and documents, organizing and maintaining files, processing mail, handling client calls, scheduling meetings, and other general administrative and office support.
This is a great opportunity to expand your skills and gain experience in real estate, corporate and probate law terminology and processes. Onsite role, Monday through Friday, during business hours.
Responsibilities Include:
- Create, type, prepare and review correspondence
- Prepare and complete documents and forms
- Handle client calls, email inquiries and correspondence
- Schedule meetings
- Scan, copy, print, sort and file a high volume of complex and sensitive documents
- Organize and maintain paper and electronic files as well as filing systems
- Process incoming and outgoing mail
- Prioritize and manage daily routine work alongside longer-term initiatives, including deadlines, and follow through to completion
- Provide general administrative and office support, including backup support to office, accounting and paralegal functions
- Other related duties as assigned and as business needs demand
Requirements:
- 1+ years of successful administrative support experience in a fast-paced, professional office environment; BS/BA degree and law firm experience preferred
- Strong computer and typing skills, to include MS Word, Excel and Outlook
- Excellent grammar, oral and written communication, and interpersonal skills
- Exceptionally organized and detail-oriented with proven ability to effectively prioritize and manage daily routine work along with longer-term initiatives simultaneously, and with excellent follow-through
- Highly reliable with a professional, engaging, friendly attitude and demeanor
- Self-directed, flexible and collaborative team-player, comfortable working in a fast-paced office independently as well as with our attorneys, professionals, staff and clients
- Strong experience processing a high volume of documents, both paper and electronic, handling confidential and critical details
- Interest in gaining knowledge of real estate, corporate and probate law terminology and process
- Must be available and able to work onsite in our Braintree, MA office Monday through Friday, during business hours
- Must be authorized to work in the U.S.
