FSEC Communications:
The Florida Solar Energy Center® (FSEC®), is the state’s premier energy research institution. Created by the Florida Legislature in 1975 to advance research, development and education in solar energy, FSEC’s focus includes renewable energy, energy efficiency, and sustainable transportation research, demonstration, and education. FSEC® is administered by the University of Central Florida and is located on Eastern Florida State College and the University of Central Florida’s Cocoa campus. FSEC performs contracted research and training in partnership with government, industry, nonprofit organizations, private sponsors, and national laboratories.
The Opportunity:
The Florida Solar Energy Center (FSEC) is looking for an Administrative Assistant III to join their team. The successful candidate will support several departments, including Communications & Marketing, the Director's Office, Special Projects, Workforce & Business Development, and Solar Technologies Research. This position also answers public inquiries.
Responsibilities:
- Supports executive staff with preparation of proposals, reports and data research for external contracts and grant activities.
- Provides high-level administrative assistance to executives.
- Assists in the preparation of correspondence and presentations.
- Coordinates advisory board meetings to include meeting materials and minutes.
- Responsible for answering main phone line, routing phone calls/messages and greeting visitors. Coordinates document sales fulfillment; monitors orders, maintains inventory and distribution records; prepares materials for shipping or coordinates outside vendor to fulfill orders if necessary.
- Orders research materials, office supplies and equipment, and oversees the maintenance of office equipment.
- Supports researchers and professional staff with administrative tasks, including summarizing workshop evaluations, organizing and maintaining internal documents, routing incoming mail. Assists with travel arrangements.
- Prepares, processes and maintains files for expenditures.
- Make purchases utilizing university procurement card and purchase orders.
- Assists with ordering materials and researching appropriate vendors.
- Make purchases utilizing university procurement card.
- Reviews and reconciles budgets and expenditures, and informs executive staff of budget status. Interprets applicable University of Central Florida rules, policies, and procedures governing office operations.
- Establishes and maintains front office procedures and guidelines.
Minimum Qualifications:
High School Diploma or Equivalent and 4+ years of relevant experience
Preferred Qualifications:
- Experience working in research environment/academia with a diverse group, supporting multiple people.
- Experience with the Workday system.
- Experience with using Microsoft Word, Excel, PowerPoint, Outlook.
- Excellent interpersonal skills.
- Strong verbal and written communication skills.
- Fluent in Spanish and English.
