Position Description

Faulconer Construction believes the employees are one of our greatest assets. We are proud of the employee culture in our workforce. The Admin Assistant facilitates the efficient operation of the front desk and supports the operations team by performing a variety of clerical and administrative tasks. This position serves as the first point of contact for all guests and callers and provides administrative support to the operations team. This position reports to the Charlottesville Area Manager.

Essential Functions

The Administrative Assistant Job functions include but are not limited to the following:

FRONT DESK

  • Welcomes employees and guests in a friendly, positive manner as they enter the office and direct them to the appropriate person or department.
  • Answers and directs phone calls in a polite and friendly manner.
  • Manages office shipping needs and postal machines.
  • Receives and delivers incoming mail.
  • Responsible for ordering, receiving, and organizing all office supplies and kitchen supplies.
  • Coordinates repair of office equipment.
  • Other duties as assigned.

OPERATIONS TEAM ADMINISTRATIVE ASSISTANT

  • Purchase Orders & Subcontracts - development, execution, entry, and change management in Viewpoint.
  • Subcontractor Pay Applications including reviews for compliance, obtaining approval, and lien waivers.
  • Client payment applications and lien waivers utilizing Viewpoint, Textura, GC Pay, etc.
  • Code project invoices (project material, trucking, RSWA, etc.) for Project Managers.
  • Prepare budget downloads and add cost codes into Heavy Job as needed .
  • Assist in new vendor setup including W-9 & verifying insurance information.
  • Scheduling new hire orientations, completing associated paperwork, and organizing required training.
  • Miss Utility setup and tracking.
  • Upload latest plans and specifications into Procore as requested by project team
  • On-site Field Staff Training (Heavy Job, Procore, etc.)
  • Communication and Coordination with Field Staff about upcoming training
  • Process Tracking to include internal follow up with Operations Team and esternal project surveys.
  • Coordinate and set up reservations (lunches, meetings, parking passes, hotels, etc.)
  • Anything else to assist the Area Manager & Operations Team.


Position Requirements

Required Skills/Abilities
  • Familiarity with construction processes
  • Notary Public (we can assist with this process if not already certified)
  • Excellent organizational skills and attention to detail
  • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
  • Proficient with Microsoft Office Suite or related software
  • Proficient with or the ability to quickly learn new software platforms such as HeavyJob, Viewpoint and Procore.
  • Ability to effectively priortize and execute tasks quickly and accurately.
  • Confidentiality, Integrity and Team Player
  • Strong analytical and problem-solving skills


Education & Experience:

  • High School Diploma, accounting or business coursework preferred
  • Experience in administrative tasks, preferrably in the construction industry.

There may be some travel to jobsites within two hours of the office. Mileage will be reimbursed.
