Under the general supervision of the Director of the Office of Community Engagement (OCE), the employee will be responsible for a full range of moderate to complex clerical and general administrative support in support of faculty who are engaged in community-based work. This position serves as the first point of contact for faculty who are engaged in community partnership development, service learning and/or community-based participatory research and will also serve as a primary coordinator of the CSUSB President's Volunteer Service Award program for faculty and staff.

Duties and responsibilities:

Establishing office procedures, developing varied models of correspondence, taking minutes, coordinating and providing administrative and logistical support for faculty-focused meetings and events. Coordinating administrative processes for OCE faculty grant programs, including creating and maintaining grant files, providing information on grant policies, and gathering required documents. Solving problems by conducting research, analysis and evaluation of information; making recommendations related to operational and procedural matters; preparing spreadsheets, entering data and creating reports.

In collaboration with Strategic Communications, the incumbent will be creating marketing materials for OCE faculty programs including press releases, on-line communications, social media, mailers, advertisements, posters and flyers, marquee announcements and other necessary communications and will be creating marketing materials and performing outreach for the CSUSB volunteer recognition programs for faculty and staff. Managing the dissemination of all faculty-related materials in a timely manner and evaluating their effectiveness. In addition, the coordinator will provide content for the website, annual report and public relations materials.

Maintaining an organized and accurate OCE historical archive by gathering, sorting and scanning documents and photographs from events, grants, correspondence and other partnership activities.

Interacting with others within and outside the university and providing high quality customer service in all interactions, including disseminating accurate information about OCE programs and services. May provide general guidance and input to student assistants.

Providing logistic and event support as needed for OCE events and programs. Other duties as assigned.

Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent and five years of progressively responsible experience in general office, clerical, or secretarial work, or the equivalent.



Required Qualifications
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.



Preferred Qualifications
  • Associate degree or BA/BS degree.
  • Proficiency in Microsoft Office Suite programs.
  • Coordinating and administering program events or projects, preferably in higher education.
  • Experience with gathering and analyzing data and developing reports.



Compensation and Benefits:

Anticipated Hiring Range: $3,681 - $4,340 per month

Classification Salary Range: $3,681 - $6,034 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year.
