Budget Title: Senior Staff Assistant (SL-3)

Salary: $50,148 - $65,000

Binghamton University seeks applicants for a Senior Staff Assistant, in the Provost's Office, which falls under the Division of Academic Affairs. Reporting to the Senior Staff Associate for the Executive Vice President of Academic Affairs/Office Manager.

Duties will include but are not limited to:

  • Assist the Vice Provost for Faculty Affairs with academic personnel cases. Provides coordination and monitoring of the academic personnel cases. Act as a liaison with the University Personnel Committee and coordinates communication and activities with each of the committees
  • Assist the Vice Provost for Faculty Affairs with the faculty hiring request process, including logging and tracking requests, preparing report for Provost, and notification of final determination to all involved parties
  • Assist the Vice Provost for Faculty Affairs with the faculty hiring process, including posting/closing faculty positions, processing diversity forms, managing questions on postings, verifying degrees, and managing log
  • Works with the Associate Vice President for Accounting and Budget on preparing faculty increase letters
  • Coordination of Contribution to Mission reports and meetings. Works with Undergraduate Education, Graduate School, Office of Institutional Research, Research Foundation, and various schools and departments to compile material, prepare reports and coordinate meetings
  • Use Google e-mail on a daily basis to receive and convey information, to schedule and confirm meetings, and to relay agendas and attachments
  • Develop, maintain and update office procedure manual
  • Carry out special projects as needed and directed by the Senior Staff Associate to the Executive Vice President for Academic Affairs and Provost/Office Manager

  • Bachelor's degree
  • One to three years of related experience with proven office administration and customer service skills
  • Demonstrated ability to exercise sound judgment, and handle confidential matters with tact and discretion
  • Must be highly motivated and detailed oriented with the flexibility to multi-task and the ability to change direction as needs require; able to work well under pressure, problem solve and able to think outside the box
  • Must be very personable with demonstrated strengths in interpersonal relations and the ability to collaborate and communicate complex material effectively with a diverse group of individuals including faculty, staff, senior administrators, industry partners, students and visitors
  • Must possess strong oral/written communication skills and technical expertise in business management tools including spreadsheets, word processing, calendar tools, and presentation software

Preferred:

  • Knowledge of the campus
  • General understanding of the academic personnel process
  • Preferred skills include work experience using social media; proficiency with editing/updating web-based information and databases
