GENERAL RESPONSIBILITIES:
The Administrative Resource Specialist – Behavioral Health is a frontline and vital member of the behavioral health team. This individual is responsible for administrative support functions required for a behavioral health office. Functions include all aspects of processing patient information services and support of behavioral health services.
SPECIFIC RESPONSIBILITIES:
- Exhibits knowledge and skill in all functions of the electronic medical record pertinent to successful job performance. Key EMR functions include scheduling, registration and telephone encounters.
- Communicates to patients and visitors in an age-specific manner, and knowledgeable in regard to age-specific safety precautions.
- Professional answers the telephone within 3 to 5 rings, screens and responds accurately and routes calls to appropriate individual.
- Schedules routine patient appointments and follows triage procedures for emergency appointments in accordance with established guidelines.
- Schedules non-routine appointments (e.g. cancellations) as directed by supervisor.
- Maintains the behavioral health treatment schedule for all staff.
- Consistently greets and assists patients and visitors in a timely, positive and helpful manner.
- Accurately completes patient registration process including verification and update of all demographic and insurance information.
- Conducts prior authorizations and proactively tracks prior authorizations with billing department.
- Maintains and correctly utilizes knowledge of patient eligibility criteria relative to different insurances.
- Verifies non-insured eligibility for sliding fee discounts, collects relative information and accurately applies the correct slide.
- Obtains and scans all pertinent patient documents specific to appointment type.
- Checks out patients completely and accurately, including collection of co-pays and charges due and makes return appointments.
- Reconciles payments received against day sheet reports and prepares daily deposits for courier pick-up. Posts payments to patient accounts as needed and includes documentation with daily deposit. Collaborates with patient accounts department for tracking/billing.
- Collaborates with immediate co-workers as a team (i.e. care coordinators), provides knowledgeable back-up for coworkers when needed, and maintains open and continuous communications to ensure efficient operations and a positive work environment.
- Coordinates referrals to behavioral health services and conducts phone outreach for potential and existing patients
- Able to perform general office duties including, but limited to, receive and distributing incoming correspondence, preparing correspondence, scanning, faxing and photocopying.
- Participates in staff meetings, distributes agendas and minutes.
- Controls patient and public access to clinical areas ensuring patient confidentiality.
- Attends trainings and meetings as assigned.
- Demonstrates excellence in both internal and external customer service.
- Understands and is able to effectively communicate HIPAA compliance, corporate compliance and client confidentiality.
- Ensures and/or remains in compliance with local, state, and federal regulations.
- Adheres to the National Patient Safety Goals as defined by the Joint Commission and the Whitney M. Young Jr. Health Center.
- Assists Director of Behavioral Health as needed.
- Completes other duties as assigned.
MINIMUM QUALIFICATIONS:
High school diploma or GED. Experience in a health care setting. Computer skills, word processing and minimum typing of 60 wpm. Able to work independently and as part of a team. Good oral and written communication skills.
PREFERRED QUALIFICATIONS:
Associates Degree or Bachelors Degree or Two to Four years of work experience in a health care setting. Experience with health information processing and Microsoft Office applications. Knowledge of medical terminology. Multi-lingual.
