POSITION DUTIES

St. Mary's County Health Department is seeking an Executive Assistant.

The main purpose of this full-time position will be to manage functions that support and enhance the flow of work in the Division of Health Promotion and Community Services. This position will develop and manage grant and program reporting for 17+ grants and 20+ programs to include collection and interpretation of data related to performance metrics. This position will also assess and review new grant requests for proposals or notice of funding applications to communicate deadlines, plan meetings, create templates and letters of support to support applications. In addition, this position will coordinate division director and program directors calendars and scheduling.

This position will utilize systems and software to develop and/or update operational and procedural manuals and directives, develop statistical reports, track workflows via charts and graphs, track performance measures related to programmatic/division level goals, etc. This position will conduct research in order to draft reports, graphics, create presentation materials for the division leadership and community partners as needed and will provide programmatic information to the public and community partners/organizations. This position will also plan and conduct study of data from agency and community partners to identify trends and develop recommendations for strategic program goals including increased utilization of services.

This position will design and prepare presentations in Microsoft PowerPoint and maintain awareness of the agency's Quality Improvement (QI) initiative to provide recommendations and support on ongoing projects and activities. This position will also coordinate health planning committees with internal and external partners.

In addition, this position will be responsible for administrative duties related to all Health Promotion and Community Services division programs: Colorectal Cancer, Breast and Cervical Cancer, Tobacco Cessation, Primary Care Collaborative, Asthma, Adult Evaluation and Review Services (AERS), Maternal/Child Health, Administrative Care Coordination (ACCU), Nurse Family Partnership (NFP) Program, Thrive By Three (TBT), Emergency Dental Services, and Violence, Injury, and Trauma (VIT) Unit, including the St. Mary’s Gun Violence Prevention Program and Youth Mentoring in St. Mary’s County Program.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 college credit hours from an accredited college or university for each year of the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should possess experience:
  • Managing State, Federal, and/or private grants;
  • Drafting reports and/or presentations.

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
