About Our Agency
GENERAL SUMMARY: The Afternoon Receptionist is the first person that interacts with callers and visitors and therefore provides professional customer service requiring excellent interpersonal, organizational and multitasking skills. Additionally, this role is responsible for performing clerical tasks within our office setting to support daily operations. Duties include answering and transferring phone calls to employees, sorting and delivering mail to employees and greeting visitors when they arrive for meetings with staff.
SCHEDULE:
Monday - Friday, 1:00 - 5:00 p.m.

ESSENTIAL FUNCTIONS include:
- Provide excellent customer service and phone etiquette to callers, vendors, outside guests, and employees.
- Utilize patience and listening skills to respond appropriately to challenging callers.
- Maintain postage machine and arrange for service as needed.
- Process incoming and outgoing mail. This includes certified letters, FedEx, and UPS overnight packages.
- Monitor visitor access and always maintain security protocol and office safety.
- Access computer database for consumer information to direct calls to appropriate staff member.
- Assist with agency clerical needs, surveys, and projects as directed.
- Forward internal faxes to appropriate staff.
- Discretely handle all private information with the utmost care and HIPAA guidelines.
- Maintain reception and lobby area to ensure cleanliness and organization.
- Apply time management skills to prioritize and complete tasks throughout the day.
- Security check to ensure all outside doors are locked when office closes at 5:00 P.M.
REQUIRED EDUCATION and EXPERIENCE:
- High School diploma required. Associate degree preferred with an equivalent combination of business-related experience.
- Experience in Microsoft Office Suite including Outlook, Word, and Excel.
- Telephone systems, good verbal/written communication, listening and customer service skills required.
- Ability to work under pressure.

Communication: Listens, speaks, and writes clearly and concisely. Ensures all involved staff members are aware of any developments or changes in daily business operations.
Cooperation/Teamwork/Timeliness: Works well with visitors, staff, co-workers, peers, and managers; responds positively to instructions and procedures. Arrives to work on time and answers phone calls in a timely and cordial manner. Dress code business casual. Demonstrates willingness to work as part of a team to promote the goals of the agency.
Consumer/Customer Service Orientation: Learns internal/external customer/consumer needs and how best to meet them. Responds to requests in a timely and thorough manner; does what is necessary to ensure customer satisfaction.
Job Knowledge/Technical Knowledge: Demonstrates knowledge of techniques, skills, equipment, procedures, and materials. Applies knowledge to identify issues and internal problems; works to develop additional technical knowledge and skills.
WORK ENVIRONMENT:
This job operates in a professional office environment and the team is office based. This is a sedentary role; however, some standing is required when operating postage machine and photocopiers.
