POSITION OVERVIEW: :
Under the supervision of the Associate Director, Annual Fund, the Annual Fund Coordinator is responsible for project management of a broad scope of Annual Fund programs, including but not limited to: Mid-Level program development, direct mail, annual campaigns, and year end giving campaigns. This position will work in partnership with the Donor Engagement Coordinator to ensure best communication, stewardship and engagement for the full spectrum of the donor lifespan. The Annual Fund Coordinator will also assist the Donor Services team as needed in gift processing, reporting and working directly with donors.
Responsibilities include, but are not limited to, providing support for direct mail, email, and social media campaigns. Key responsibilities are process management, editing and proofing, written communications as well as key support in developing the mid-level giving program. This role requires a strong understanding of systems and workflow, as well as the ability to oversee a number of projects concurrently. The position requires collaboration with colleagues within the fund development department, as well as across the organization, including senior leaders, board members, program staff and external stakeholders, and provides the opportunity to learn about and participate in various areas of the organization’s fundraising efforts.
As a member of the Annual Fund team, the Annual Fund Coordinator supports the strategic cultivation and stewardship of the Annual Fund program for the successful growth in relationships and fundraising for SFAF. The Annual Fund Coordinator will be a collaborative team member providing important input into direct mail strategies, mid-level processes and procedures, and the creation of cultivation and stewardship opportunities across the spectrum of SFAF development fundraising efforts.

EDUCATION AND EXPERIENCE: :

WORK ENVIRONMENT: :
This position is primarily located at 1035 Market Street:, San Francisco, however may be conducted from a remote location with periodic travel to SFAF office locations or off-site meetings as required by the job. The position may require irregular and extended hours, including nights, early mornings and weekends. This position requires participation in agency events as staff, as well as the opportunity to participate as staff on AIDS/Lifecyle, a 7-day traveling event that involves camping outdoors.

ESSENTIAL DUTIES AND RESPONSIBILITIES: :
- Under the supervision of the Associate Director, Annual Fund, coordinate with Institutional Giving Manager for content creation, overseeing the review process of direct response fundraising efforts, which include but are not limited to: direct mail, email, social media and other fundraising campaigns.
- Oversee and coordinate direct mail production including working with mail house, printer, etc.
- Maintain internal tracking and organization of fundraising assets, including, but not limited to: copy, creative, donation web forms, vanity URLs, and references.
- Participate in monthly content meetings for direct response program with internal stakeholders at SFAF.
- Build relationships with program staff to coordinate/gather client stories for direct response assets.
- Assist Development staff with planning, logistics, internal mailings, and vendor relationships for cultivation, stewardship, and event participation.
- Work with Associate Director, Annual Fund to provide reports, lists, and updates to Development team, as needed.
- Assist Donor Services team, as needed, with gift entry and customer service for donors and/or participants inquiries. :Make appropriate referrals and respond in a timely manner to all requests.
- Help to manage internal systems for the storage/deletion of direct response efforts.
- Maintain Mid-Level program tracking information in Salesforce NPSP.
- Participate in team meetings, staff meetings, and all major organizational events

ESSENTIAL QUALIFICATIONS: :
- Interpersonal Skills: :Self-directed, performance-oriented individual who has demonstrated initiative and achievement of goals. Understands best-practices in individual giving.
- Communication Skills: :Exceptional verbal and written communications skills. Demonstrated ability to write and edit persuasive materials including presentation scripts, Powerpoint decks and other collateral.
- Reporting: :Familiar with CRM reporting, conducting background research, analyzing donor prospects, and crafting engagement strategies.
- Software Skills: :High level of proficiency in Windows operating systems, Microsoft Office (Word, Excel, PowerPoint, etc.), and experience with constituent relationship management (CRM) systems (e.g., Salesforce, Blackbaud or similar).
- Organizational Skills: :Excellent organizational skills; ability to effectively coordinate and prioritize workload.

- Bachelor's degree or high school diploma or equivalent with minimum two years fundraising, or administrative/CRM experience.
- Minimum of 1-3 years’ experience in direct response, content creation, individual giving, and donor services.
- Must demonstrate a strong detail orientation.
- Must demonstrate strong interpersonal and relationship building skills.
- Experience in working with teams of staff and/or volunteers.
- Experience creating fundraising or presentation materials.
