Position Summary Information

Primary Purpose of Organizational Unit
The Office of the University Registrar (OUR) serves several key duties as set from the Faculty Code of University Government:

1) OUR serves as the keeper of the academic records of all students registered in the University and issues official transcripts and reports of such records; 2) conducts the registration of all students in the University; 3) prepares and publishes the class and examination schedules; and 4) administers the faculty regulations relating to the removal of academic deficiencies incurred in this University and to compliance with probation and readmission requirements.

To fulfill these duties the office has following core service areas for and on behalf of the university community, including students, alumni, administration, faculty, staff, and other constituents.

Position Summary
The University of North Carolina at Chapel Hill seeks innovative candidates for the position of Assistant Registrar for Records and Enrollment Services. This position oversees the staff and administrative systems that support the delivery of University-wide student services, including course registration, transcript generation, enrollment verification, and grading. These are essential functions that impact the academic progress and official student records of undergraduate, graduate, and professional school students. The position also oversees the document management system, coordinates the imaging of documents, and the retention schedule for critical University student records in all forms, including paper, microfilm, and electronic documents. As a senior advisor to the Associate University Registrar, this position assesses the quality and volume of student registration activity and provides reports on the registration process, which are critical to the University’s retention and graduation rates, accreditation, and reputation. Additionally, this position will assist with training campus departments and staff on the registration system and FERPA requirements. This position is an integral part of the functional analyst team that provides input on enhancements to PeopleSoft Campus Solutions and is responsible for testing the impact of the system on the Registrar’s processes, identifying risks and defining areas for improvement. The Assistant Registrar supervises a team of professional staff and temporary seasonal employees.

Minimum Education and Experience Requirements
Bachelor’s degree and three years of experience in the area of assignment, of which at least one is supervisory or in a lead-worker capacity; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Required Qualifications, Competencies, and Experience
Broadly demonstrated excellence in planning and evaluation; substantial knowledge of computer systems and software; problem-solving and analytical skills; excellent oral and written communication skills; and the ability to work collaboratively with a diverse group of colleagues and students.

Preferred Qualifications, Competencies, and Experience
Master’s Degree is strongly preferred. Knowledge of university academic structures and of student services, such as registration, records, admissions, and other student support services, are preferred.

This position is designated as a Campus Security Authority in accordance with the Clery Act. This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities.
