HALO is looking for a Billing Coordinator to research and resolve invoice issues with vendors and sales team members resulting in accurate and timely billing to our customers.

What to expect

Previous experience in the promotional products is not required. During onboarding, we will provided a structured class that teaches what you need to know to be successful. When you start, you can also expect:

  • Accurately invoice HALO customers (Account Executives)
  • Review and resolve issues with vendor invoices within set vendor terms
  • Review freight charges and apply/remove from order
  • Prepare and update Excel spreadsheets when needed
  • Communicate effectively with customers (Account Executives) to resolve billing issues
  • Autonomy to diagnose customer situations and provide one-touch resolution
  • Empowerment to achieve deadlines using good judgment to on how to prioritize your time
  • Supportive team with swing resources to ensure customer coverage
  • Use ERP to maintain digital records customer contact and associated outcomes
  • Be a strong brand ambassador for HALO with account executives, co-workers, and suppliers as well as on social media
  • Model HALO values of working as One Team, Ingenuity, Inclusion, and Determination
  • Exercise good judgment to solve customer problems using HALO policies and protocols
Requirements:
  • 3+ years of office-based clerical experience
  • 2+ years of Accounts Payable and/or Accounts Receivable experience
  • High School diploma or GED
  • Experience in Microsoft Word, Excel, and Outlook
  • Enjoy problem-solving, and helping customers
  • Comfortable making judgment calls, and prioritizing workload
  • Working knowledge of ERP systems (to track customer interactions)
  • Excellent oral, written and interpersonal communication skills
  • Knowledge of and experience with basic business math
  • Motivated by working in a goal-oriented, deadline-driven team with autonomy in how you work
  • Ability to deliver under deadlines with a high level of accuracy
  • Curious, flexible and good humored with a positive “can do” attitude
  • Active participant in giving and receiving in appreciative and constructive feedback
  • Motivated learner that will take advantage of on-the-job training, complementary training programs, career mentorships, and stretch assignments

Preferred qualifications

  • Previous role in data entry
  • 5+ years of experience in Accounts Receivable and/or Accounts Payable
  • Associates degree
  • Proficiency in Microsoft Teams
  • Previous experience in the promotional products industry and/or freight-related experience
