Job description
The Appleton Branch Director is responsible for the successful leadership and management of an affiliated branch of the Boys & Girls Clubs of the Fox Valley in accordance with the strategic direction set by the Corporate Board of Directors.
Essential Job Functions
Leadership
- Create and sustain a values-based branch culture that leaves ample room for individual and team autonomy, creates a clear and supported path toward position mastery, and wherein all staff and volunteers believe at all times their success in fulfilling their role is necessary to the achievement of the organization’s mission.
- Represent the organization to the community and build strong relationships with external partners (e.g. other community-based organizations, funders, government agencies, etc.) that enhance the Club’s profile, support its strategic priorities and create opportunities for mission advancement.
- Identify, assess, and inform the CEO of internal and external issues that affect the branch.
- Foster effective team work and timely communication between the staff and the Leadership Team.
- Conduct official business (contracts, payments, negotiations, correspondence, etc.) on behalf of the organization as delegated by the Corporate Board of Directors.
Operational planning and management
- Oversee the development of an operational plan that incorporates goals and objectives which support the strategic direction of the organization.
- Ensure the organization’s operations meet the expectations of its clients, Board and funders.
- Ensure the efficient and effective day-to-day operation of the organization.
- Draft policies for the approval of the CEO and prepare procedures to implement the organizational policies; review existing policies on a regular basis and recommend changes as appropriate
- Ensure that personnel, client, donor and volunteer files are complete, securely stored and privacy/confidentiality is maintained.
- Oversee the planning, implementation and evaluation of the organization's programs and services.
- Ensure that the programs and services offered by the organization contribute to the organization's mission, meet the current and emerging needs of children, youth and their families, and reflect the Board’s priorities.
- Ensure the implementation of effective quality improvement processes.
- Oversee the planning, implementation, execution and evaluation of special projects.
Human resources planning, management, and team development
- Determine staffing and volunteer requirements for branch management and program delivery.
- Oversee the implementation of the human resources policies, procedures and practices in partnership with the Human Resource Director.
- Ensure the branch is on a continuous learning path that supports position mastery at all levels and staff participate fully in the organization’s talent development program.
- Establish a positive, healthy and safe work environment in accordance with all relevant regulations and agency policy.
- Oversee and support the development of a comprehensive and coordinated network of high performing staff teams.
- Select staff that have the requisite professional and personal attributes, talents, and skills to help further the organization's mission.
- Ensure a succession plan is in place for all key positions in the organization.
- Adhere to the organization’s performance management processes for all staff which includes monitoring the performance of staff on an on-going basis and conducting an annual performance review.
- Coach and mentor staff as appropriate to improve performance.
- Discipline staff when necessary using appropriate techniques; release staff when necessary using appropriate and legally defensible procedures in partnership with the Human Resource Director.
Financial planning and management
- Work with staff and the CEO to prepare a comprehensive budget.
- Approve expenditures within the authority delegated by the Corporate Board.
- Ensure that sound bookkeeping and accounting procedures are followed as directed by the Finance Director.
- Administer the funds of the organization according to the approved budget,
- In partnership with the Finance Director, ensure the Board receives comprehensive, regular reports on the revenues and expenditure of the organization.
Technology
- Ensure the development and implementation of plans for updating existing technology and resources.
- Ensure the maintenance, safety, and security of Club technology and information management systems.
- Ensure technology resources and systems align with and adequately support the organization’s strategic and operational needs.
Facilities
- Ensure all facilities, major equipment and properties are well-maintained, safe, and operable.
- Ensure Club facilities and equipment adequately support the advancement of the organization’s mission.
Community relations and advocacy
- Communicate with stakeholders to keep them informed of the work of the organization and to identify changes in the community served by the organization.
- Establish good working relationships, collaborative arrangements, and strategic partnerships with community groups, funders, government agencies, and other community based organizations to help achieve the goals of the organization.
Risk Managment
- Ensure the development and implementation of comprehensive and robust measures to control and minimize risks on all aspects of safety affecting Club members and program clients, staff, volunteers, and visitors such as assessments, behavior management systems (e.g. PBIS), inspections, cost estimating, training, and measurement.
- Be knowledgeable about the organization’s insurance coverage.
- In partnership, ensure the development and implementation of thorough crisis response plans and procedures.
Qualifications - the Branch Director position requires a majority combination of the following:
Education and Experience
- A minimum of at least five distinguished years in a leadership role in a Boys & Girls Club or similar non-profit organization.
- Bachelor’s degree in organizational leadership, human services or related field from an accredited college or university or equivalent experience.
- Thorough knowledge of the mission, objectives, policies, programs and procedures of Boys & Girls Clubs and the principles and practices of managing youth serving programs and services.
