Job description

The incumbent is responsible for a wide range of Department Assistant duties and assignments that support the Cataloging and Metadata Department and its 15 FTE faculty, 12 FTE staff, 4 FTE part-time staff, and 15-20 FTE student employees. The incumbent also completes specialist-level cataloging and metadata projects and is assigned direct stewardship over the library’s curriculum collection.


Essential Functions

1. Department Assistant

  • Facilitates daily operations of the Cataloging and Metadata Department by:
    • Responding to inquiries regarding department/library policies, procedures, and services
    • Attending department-related meetings and taking minutes
    • Scheduling interviews for students seeking employment in the department
    • Managing the inventory, scheduling, and maintenance of over 56 workstations and other department equipment
    • Maintaining personnel files and reports
    • Serving as the department Records Liaison
    • Helping student employees resolve timeclock problems and questions
    • Training department employees on relevant hardware and software implementations
    • Updating department web pages
    • Performing other administrative tasks, as requested
  • Serves as the first point-of-contact for those entering the secure 6750 area, directing and assisting visitors; also receives incoming phone calls and answers inquiries pertaining to cataloging and metadata
  • Communicates with patrons regarding problematic requests or missing items
  • Collects, maintains, and organizes accurate department data/statistics documenting catalog production
  • Assists with the compilation of various internal reports, production cost analysis, and statistics/data required for ongoing library, university, and national reporting purposes
  • Coordinates and distributes inter-departmental communications
  • Coordinates and updates department travel requests and documentation with the Library Business Office
  • Schedules and coordinates calendaring functions for the department chair and department personnel
  • Administers and monitors expenditures from the department supplies budget, coordinates payments for faculty professional organization memberships and conferences, and manages oversees service contracts for office equipment
  • On-boards new student and non-student employees within the department
  • Coordinates and develops department-wide training for 15-20 student employees
  • Hires, trains, and supervises 3-4 student employees directly

2. Cataloging

  • Provides original and complex copy-cataloging and classification for books, media, kits, etc. associated with the Utah State Education Curriculum Adoption and Collection Program
  • Oversees cataloging and processing of all materials considered “rush priority”, and locates/directs processing of all “patron in-process holds” and other requests requiring extra-ordinary handling procedures
  • Assigns location metadata for all in-process materials
  • Provides copy-cataloging and classification for new English language acquisitions not requiring subject analysis
  • Provides support for the withdrawal process, the metadata classification and description for Electronic Theses and Dissertations, and reclassification projects
  • Corrects collection codes and location metadata for materials transferred to new locations by the library’s various reference desks
  • Participates in ongoing training and education in library-related technology, standards, and practices

3. Other Duties

  • Attends Cataloging and Metadata Department, and other related meetings, as well as library-wide meetings
  • Participates in committee assignments
  • Participates in mentoring students as opportunities arise, and provides support to department personnel who participate in mentoring students
  • Participates in job-sharing and educational opportunities to respond to challenges in direction and priorities
  • Attends relevant conferences and webinars, as funding permits
  • Assists with special projects given to the department that lie outside the scope of other major accountabilities


Education/Experience

Minimum education/experience required:

  • Bachelor’s degree or 4 years of equivalent experience

Preferred:

  • Master’s degree in Library and Information Science
  • 1 or more years of office or office-related work experience
  • Academic library cataloging, or other library experience

  • Excellent interpersonal and written communication skills
  • Ability to perform assigned tasks accurately and meticulously
  • Ability to recognize, resolve, and/or refer problems/issues related to employees
  • Ability to manage multiple and/or diverse responsibilities concurrently, while meeting quality and quantity standards
  • Ability to work successfully with colleagues
  • Ability to adapt to a technological environment with a strong service orientation
  • Computer skills, including MS Office, e-mail, and Internet tools
  • Organizational skills
  • Supervisory skills

Preferred:

  • Basic accounting/bookkeeping skills
  • Experience in managing office workflow
  • Skill in navigating through online proprietary cataloging tools, such as Cataloger’s Desktop, Classification Plus, and Subject Cataloging Manual
  • Working knowledge of cataloging and classification industry standards
  • Working knowledge of record import and export protocols
  • Familiarity with Library of Congress Subject Terms and subject/name authority work
  • Recognition of Roman alphabet-based languages; ability to decipher initial articles and diacritics related to these languages
  • Experience with an online cataloging system

Approximate Starting Salary: $41,500 - $53,500, depending on qualifications
