Major Responsibilities:
Processes therapeutic and diagnostic orders
1)Transcribes orders in an accurate and timely manner.
2)Notifies patient care team and ancillary departments of outstanding orders.
3)Determines priority and schedules patient procedures/tests in an appropriate sequence.
4)Maintains current list of attending and consulting physicians.
5)Communicates pertinent and timely information to appropriate departments and staff.
Ensures accurate maintenance of the patient’s medical record.
1)Verifies all documents contained within the medical record for complete and accurate patient demographic information.
2)Assembles the medical record in the proper sequence checking that all forms are correctly stamped or labeled.
3)Checks all charts at the end of each shift to ensure all orders are transcribed.
4)Files all lab results and other reports into the patients’ charts after they have been checked by the R.N.
5)Assembles admission, transfer, and discharge charts in proper order. Strips charts as needed.
Provides accurate and complete patient information to internal customers.
2)Maintains accurate data base, i.e., clinical data screens, consulting MD’s, allergies.
1)Enters all required data into computer.
Demonstrates time management and organizational skills.
1)Makes “STAT” trips to ancillary areas to deliver specimens, requisitions, and pick-up supplies as needed.
2)Maintains a clean, neat and safe work environment. Works in a manner that is in compliance with hospital infection control standards, OSHA, and other regulatory agencies.
3)Assists with the inventory and placement of unit supplies, maintaining par levels. Avoids overstocking.
4)Demonstrates ability to respond to emergency situations.

Communicates effectively with all customers.
1)Foster positive communication between all members of the health care team.
2)Acknowledge and respond appropriately to all internal and external customers who approach the nurse’s station.
3)Acknowledge and/or communicate to staff when call lights have been activated.
4)Coordinate incoming and outgoing calls, including recording and reporting of pages and messages.
5)Ability to communicate in a positive manner with patients, physicians, nursing staff, families, and other hospital personnel.
6)Promptly reports any situations that call for attention of registered nurse, charge nurse, clinical coordinator, or director/manager.
7)Answers telephone calls promptly and courteously, and attends to patient/family needs, or relays messages as indicated to the correct person in a timely manner.
8)Pulls charts for physicians and offers assistance on the unit.
9)Demonstrates responsibility and ethical behaviors consistent with the Advocate values (Equality, Compassion, Excellence, Partnership, and Stewardship).
Coordinates all activities related to the patient admission, discharge, and transfer processes.
1)Photocopies any necessary records for transport to another facility.
2)Communicates with appropriate departments and provides information related to Admission/Discharge/Transfer.

Education/Experience Required:
  • High School Diploma or GED equivalent. -Knowledge of Medical terminology preferred. -Transcription experience preferred. - 1-2 years previous healthcare experience
Knowledge, Skills & Abilities Required:
  • Knowledge of computer keyboard. -Good communication and telephone skills. -Meets Advocate behavioral expectations.

Physicial Requirements and Working Conditions:
  • Ability to rotate shifts to provide coverage. -Exposure to various contagious diseases, radiation, chemicals, caustic materials, electrical equipment and hazards associate with their use. ADDITIONAL INFORMATION: Incorporates the provision of cultural and age specific needs while exhibiting communication skills necessary to interpret age specific responses. Interactions would be with infants, children, adolescents, adults, and geriatrics. Note: Incumbent may be required to function in the nursing patient care units as indicated. Due to cross-training and overlapping of services, competence is necessary in communicating with all age groups.
If position has direct patient care or direct patient contact the following lifting requirement supersedes any previous lifting requirement effective 06/01/2015. Ability to lift up to 35 pounds without assistance. For patient lifts of over 35 pounds, or when patient is unable to assist with the lift, patient handling equipment is expected to be used, with at least one other associate, when available. Unique patient lifting/movement situations will be assessed on a case-by-case basis.
