Job Description: The College Assistant works independently with minimal supervision and requires complex secretarial skills relieving a superior of operational details and assuring efficient day-to-day operation of the college. This position reports directly to ENS Administrator for HR & Research but assists Dean, Associate Dean and faculty as requested.
Specific Responsibilities:
- Greets visitors; receives and responds to all forms of communications and routes requests appropriately
- Maintains security of confidential reports, grades, and other matters requiring discretion
- Maintains and orders office supplies as requested
- Schedules appointments and meetings as requested
- Organize all College Functions, arrange Department Meetings, logistics and agendas as needed and assist Institutional Advancement with AB meetings and Reunions (start to finish)
- Invoicing for Equipment Rental/use (record keeping) (SEM)
- Specific Projects as needed (one time events, etc.)
- Purchasing/ProCard Back up as needed
- Establishes and maintains routine record keeping; data entry and communication
- Maintains files and all documentation associated with recruiting faculty
- Other duties and back up other assistants as assigned
Required Qualifications: Specialized secretarial/clerical training such as may be obtained through high school, vocational, or technical school; minimum 2 years experience in related secretarial field; proficiency utilizing computer software such as Word, Excel; extensive knowledge using Microsoft Windows; excellent interpersonal skills; excellent communication skills; ability to work with a diverse group of people located both internally and externally to the University; ability to maintain level of confidentiality regarding records and departmental matters; flexibility and diligence while multi-tasking
Preferred Qualifications: Associates degree or two year college equivalent and/or specialized secretarial training; knowledge of Datatel information system
