Under general supervision of the Community Relations Assistant (Newspaper), provides administrative support to ensure efficient operation of the O’odham Action News (OAN) division within the Community Relations department. Performs operational, entry-level duties associated with newspaper development and production. Performs general office duties and processes requisitions for checks, POs, and BPOs travel requests/claims, and handles Pcard expense reports. This job class is treated as FLSA Non-Exempt.

Distinguishing Features: The Community Relations Assistant (Newspaper) is distinguished from the Community Relations Newsperson by emphasis on newspaper related administrative tasks. May perform operational, entry-level duties associated with newspaper development and production but not at the same level as the Community Relations Newsperson. Focuses on the support aspect of the newspaper production.
Tasks:
1. Subscriptions:
- Maintains newspaper subscriptions and updates subscriber fourth-class bulk mail list and first class mail list.
- Maintains the master mail list for fourth class and first class subscribers.
- Answers subscription inquiries on OAN portal.
- Updates subscription list on a daily basis.
- Verifies eligibility for free subscriptions for enrolled SRPMIC members.
- Sends form letters to subscribers regarding subscription matters.
- Contacts subscribers by phone when necessary to confirm correct addresses.
- Prepares newspaper for bi-weekly mail-out of bulk mail (4th class) and first class subscriptions.
- Finalizes and prints mail labels and coordinates the newspaper bulk mail and first class distribution.
- Labels and bundles newspapers according to USPS requirements, sorting by postal code.
- Prepares USPS sacks with correct label.
- Prepares USPS form for mail out.
- Labels and prepares envelopes for first class subscriptions.
- Ensures USPS supplies and mail bags are stocked.
- Maintains and updates first class paid subscriptions.
- Invoices first class subscriber as necessary.
- Enters payment in appropriate form.
- Updates first class subscription list.
- Deposits payment checks.
- Maintains and updates invoices plus coordinates financial transactions and recordkeeping.
- Prepares monthly invoice billing list for display and classified ads for processing by the Finance department..
- Sends out “Late Notices” as needed for advertisers whose payments are delinquent and provides follows-up to ensure payment credits are posted to customer accounts.
- Deposits payment checks as needed.
- Verifies the accuracy of customer contact and billing information prior to sending monthly invoices.
- Records all transactions, posts credits and prepares reports and summaries.
- Obtains Community Service Announcement information and performs layout for Community announcements, memorials, programs and services, Court Notices, the Community Calendar and classified advertising layouts.
- Verifies SRPMIC church and business listing quarterly by telephone call or email and updates information as needed.
- Updates the Calendar of Events information each issue.
- Verifies Court Notices and sends proof to Court staff for final approval.
- Ensures information is accurate and updates layout as needed.
- Answers the O’odham Action main phone number, coordinates mailings and correspondence plus answers customer general inquiries.
- Answer telephones and transfers calls to appropriate parties or take messages.
- Writes routine memos, letters or other reports.
- Responds to and resolves basic administrative inquiries and questions.
- Handles requisitions for POs, BPOs and Check Requests, Travel Requests, Travel Claims, and handles PCard expense reports for newspaper staff.
- Files as necessary and stores forms, letters, receipts or reports electronically.
- Maintains supplies inventory by checking stock to determine inventory level, placing and expediting orders for supplies.
- Maintains filing and archiving of the OAN papers and follows proper processes to house at the Repository.
- Assists other Divisions within the Community Relations Department as necessary including events and special projects.
- Attends meetings as required.
- Designs small advertisements as needed, delivers advertising proofs electronically or in-person if necessary and picks up payments for first-time advertisers if needed.
- Obtains information and performs print layout for memorials, programs and services, Community announcements, the Community calendar and classified advertising layouts.
- May be periodically required to take photographs and write small stories and captions.
- Writes human interest stories for print and/or online edition.
- Takes photos and writes captions for print and/or online edition.
- Prepares photos for online edition.
- Assists at events as assigned.
- Performs other job duties as assigned by the Community Relations Manager (Managing Editor) or Community Relations Director.
Knowledge, Abilities, Skills and Other Characteristics:
- Knowledge of the culture, customs, history and government of the Salt River Pima-Maricopa Indian Community.
- Knowledge and basic working ability with Microsoft Office, FileMaker Pro, Adobe InDesign, and Adobe Photoshop computer software.
- Knowledge of the basic layout principles and techniques for newsletters, and newspapers.
- Skill establishing effective working relationships with Community Members, Community officials, the public, representatives of the news media and other Local, State and Federal representatives and officials.
- Skill with writing, sentence structure, spelling, and punctuation are essential.
- Skill operating office equipment including printers, copier and multimedia instruments.
- Skill maintaining polite and professional communication via phone, e-mail, and mail.
- Skill exercising good judgment, organizational skills and taking initiative.
- Skill using a MAC computer.
- Ability to adhere to detailed policies and procedures.
- Ability to maintain confidentiality of records and information.
- Ability to complete work assignments accurately and to meet deadlines.
- Ability to work well with the public and with all levels of government entities.
- Ability to communicate and interact with others, both in person and/or by telephone to conduct business.
- Ability to perform basic newspaper layout and design.
- Ability to work independently.
- Ability to sit for extended periods.
- Ability to lift and carry 50 pounds.
Qualifications:
Education:
- An Associate’s Degree from an accredited college or university in Business Administration, Communications, Journalism or a closely related field highly preferred.
Experience:
- Two (2) years’ full time work experience in a newspaper, public relations or news media work environment required.
- Must be efficient in word and excel.
- Extremely organized, quick learner of computer skills, ability to multi-task and people skills.
- Basic understanding of advertising and newspaper production preferred.
- Experience using publishing software is preferred.
- Basic bookkeeping skills preferred.
Equivalency:
- Any equivalent combination of education and experience that will allow the applicant to satisfactorily perform the duties of the job may be considered.
Requires travel and periodic work on evenings and weekends.
