Job description

The purpose of this job is to assist the Clerk of Court, Deputy Clerk of Court and judges by performing routine and complex clerical work and providing excellent customer service to the public. Computes, classifies, records, verifies numerical data for use in maintaining accounting records and/or process child support payments for the appropriate cases, and notifies employees to withhold money from employee’s pay for child support by performing the following duties. This class works under general supervision, independently developing work methods and sequences.

Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.
  • Posts cash and mail payments for the QSI program.
  • Serves individuals subpoenas that have court dates that have not received them yet.
  • Prepares release documents and posts money for defendants to be released from the Detention Center.
  • Balances money daily and prepares deposit slips.
  • Serves bench warrants.
  • Responds to Department of Social Services case information requests.
  • Disburses unclaimed funds.
  • Collect fines and fee payments.
  • Provides assistance to office personnel as needed.
  • Prepares, receives, and/or processes documents, records, and reports as needed.
  • Communicates with the public, lawyers, and Sheriff’s Department as needed.
  • Calculates and posts the money due for child support charges.
  • Operates office equipment which includes computer, CRT, calculator, copier, typewriter, printer and fax machine.
  • Prepares child support garnishment papers to notify companies to withhold money to send to the court for child support.
  • Receives fines, fees, restitution, and child support payments.
  • Loads and posts bond payments.
  • Mail copies of papers to non-custodial parents informing them that their employer is under a court order to withhold child support from their pay.
  • Mails copies of wage withholding papers to Department of Social Services.
  • Reviews unemployment list and sends wage garnishment papers to cases that are not being paid.
  • Enters on the computer required information on wage garnishment.
  • Calls employers to verify employment to determine why there is a discrepancy in the child support payment amounts and/or when the next check will be sent.
  • Faxes documents to employers, Department of Social Services and the Law Complex.
  • Communicates with the Department of Social Services employees to obtain employment information on a non-custodial parent or solve a problem on a case.
  • Replies to letters and answers questions from non-custodial and custodial parents, Department of Social Services and employers.
  • Provides professional and courteous customer service at all times to in-house staff and general public either by telephone, electronically, or face to face.
  • Cross train to other job functions within the Court Clerk I positions.
  • Perform other duties and related work as instructed and assigned.

Supervisory Functions:
  • This job has no supervisory responsibilities.

Minimum Education and Experience Requirements:
High school diploma or general education degree (GED); and two to three years of clerical experience; and/or education in secretarial science or an Associate Degree in Business or equivalent from two-year college or technical school. Three years of office management experience preferred. Must possess typing and computer skills.

Reasoning/Mathematical/Language Skills:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
