Job description
1. Manage the fundraising database, including maintaining electronic and paper constituent records of donors, including all contact and gift entry as well as donor acknowledgement, ensuring that all gifts of cash, stock, in-kind, and pledges are verified, accurately recorded in the database and reconciled.

2. Process all import and export of data and merges.

3. Design reports and segmented queries for mailings.

a. Production of annual mail campaigns (from mail merge to fulfillment phase).

4. Produce detailed reports for CDO to analyze data trends.

5. Conduct database analysis and research, ensuring that data is entered accurately and evaluating requirements and needs assessment.

6. Assist in troubleshooting software application issues.

7. Support other data related projects as required

1. Process and send volunteer applications to correct Program Leads & close the loop on volunteer efforts.

2. Maintain and coordinate administrative supply orders and inventory.

3. Manage CSB conference room scheduling.

4. Maintain IT user information and set up.

5. Answer general phone line and check/ respond to voicemail messages.

6. Ensure office equipment is functioning, manage routine service calls (copier, postage, etc.) and coordinate small maintenance projects

7. Maintain current and accurate employee information, specifically telephone list and organization chart and employee files.

8. Open and process mail

9. Prepare bank deposits

10. Prepare Board meeting packets, RSVP tracking, electronic voting and meeting logistics (approximately 5 meetings per year)

11. Maintain Board Intranet and records such as contact lists, meeting minutes, resolutions and member files

12. Special projects as needed such as design and formatting of electronic presentations, compilation and submission of reports to YWCA USA, employee surveys

13. Support onboarding of new employees as required: i.e. job postings, new hire forms, exit forms, orientation, security checks

14. Coordinate bi-annual all-staff retreats and other all-staff meetings

15. Manage process improvement initiatives

16. General administrative and project support
