Dispatcher

The dispatcher is responsible for making sure the Service team arrives to their appointments in a timely manner. They must be able to adjust appointments and be flexible when doing this. Dispatchers must be able to pull resources from different websites to verify location information. The dispatchers will participate in continuous training on both a one-on-one basis and in small group settings. This training will ensure that a Dispatcher’s work is in accordance with established processes and procedures. Dispatcher’s must be able to multi-task in a fast-paced, constantly changing atmosphere. This position reports directly to the Office Manager.

Responsibilities:

· Represent the company professionally, honestly, and ethically in all business matters/concerns

· Communicate with every customer in a courteous and professional manner

· Solid multitasking skills and ability to analyze and prioritize calls according to urgency and or profit.

· Confidently communicate outbound “catch and release” appointments with customers

· Maintain service technicians’ daily schedules and dispatch the technicians to jobs

· Review the Opportunity Lineup each day in to Dispatch opportunities to the appropriate Technicians

· Make outbound “reschedule” or “Scheduling Maintenance Club Tune-ups” for customers who have paid for tune-ups but need to be added to the schedule

· Always keep dispatch boards (manual and electric) current

· Communicate required information to the field staff and management per company policies

· Review completed invoices for accuracy

· Facilitate follow up with the homeowners for parts or future visits

· Maintain and update customer database with current information

· Address minor customer concerns; pass major concerns to the concerns department

· Attend all required meetings

· Preform all other duties as assigned

Requirements:

· Extremely high level of urgency to resolve problems

· Provide over the top customer service

· Communicate effectively

· Strong attention to detail

· Switch between tasks with no loss in efficiency or effectiveness

· Learn and practice telephone and two-way communication effectively, according to Company policies

· Learn the geographic areas in the Company’s service area

· Make decisions, based on established guidelines and procedures

· Maintain organization

· Practice time management

· Acquire an understanding and knowledge of the HVAC industry

Pay: $20.00 - $22.00 per hour
