POSITION SUMMARY :

The Document Imaging and Validation Team-Lead position exists to supervise and lead the Document Validation and Imaging teams daily.

ESSENTIAL FUNCTIONS:

  • Balances workflow, resources and user needs to achieve excellent service to all customers.
  • Works with departments from all Clayton divisions to facilitate imaging solutions for their documents.
  • Develops procedures for imaging new documents.
  • Communicates and collaborates with company leaders regarding scanning, validation and importation of imaged documents and status of paper documents for incoming loans.
  • Remains knowledgeable of numerous document types, troubleshooting batches and processing reclassification requests in a timely manner with utmost attention to detail.
  • Works with other Document Services leaders to manage the flow and filing of incoming loan origination documents.
  • Works with Project Managers and the ECM team to implement and manage solutions and resolve issues related to technology including hardware, software and programming utilized by the Document Validation and Imaging teams to fulfill their responsibilities.
  • Creates and maintains detailed management reports.
  • Maintains and updates department procedures manuals, training guidelines and security and business continuity plans for Document Validation and Imaging.
  • Ensures all policies and procedures are followed; protects company assets.
  • Interviews and hires new team members.
  • Assists with training and developing of all team members.
  • Reviews and counsels team development, growth and performance.
  • Completes team member reviews and evaluations.
  • Communicates effectively with all levels of internal and external personnel.
  • Promotes company image through professional service and actions.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent. Some college preferred.
  • 1-2 years related experience required.
  • Working knowledge of Microsoft Office including Excel and Word.
  • Ability to work flexible hours.
  • Knowledge of loan documents, loan auditing, and imaging systems a plus.
  • Self-motivated, dependable, ability to prioritize and multi-task.
  • Solid problem solving and organizational skills a must.
  • Ability to lead, support and contribute to a positive team atmosphere.

PHYSICAL DEMANDS:

  • Must be able to remain in a stationary position 50% of the time.
  • Constantly operate a computer and other office devices, such as a telephone and multi-functional copy, scan, fax and print equipment.
  • Constantly utilize communication methods and tools including phone, email and other applications such as Zoom and Microsoft Teams to interact with team members, customers and other leaders.
  • Constantly work in an indoor temperature controlled, sealed window office environment.
  • Oversee teams that handle high volumes of paper documents and utilize large scanners in the imaging process.
