The Document Management Specialist performs tasks involving the use of document scanners, and indexing software. Follows proper procedures to perform daily operations of document imaging, processing, and indexing of client records.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- A successful candidate will have a high attention to detail and strong analytical and organizational skills.
- Familiar with contracts and legal documents
- Conducts digital file migration, including reviewing documents in order to move them into the correct folder, renaming the files according to South shore Banks naming convention, applying metadata to each file and deleting duplicate files.
- Maintain knowledge of the various documents indexed for each Business Unit within the Bank.
- Prepares all documents for efficient entry into the document imaging system.
- Scans, indexes and files document images to the proper location within the electronic record for all files, received documents and client correspondence.
- Performs quality control on all new and existing files using internal reports and documentation to verify data input is correct.
- Scan daily maintenance backup.
- Complete high volume of work while meeting quality, productivity and timeliness standards.
- Maintain high degree of quality control and validation of completed work.
- Part Time hours working up to 25 hours per week.

EDUCATION and/or EXPERIENCE
- Strong time management and organizational skills
- Banking, lending, or loan processing experience preferred
- Associates Degree or equivalent relevant work experience
- Intermediate technology skills required (knowledge of word processing, database and spreadsheet applications (Excel), and Microsoft Office 365).
- Nautilus experience is a plus
- Experience in lending is a plus
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers and co-workers.
MATHEMATICAL SKILLS
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
