The Office of Admission at Davis & Elkins College has an immediate opening for an Events Coordinator for Enrollment Management. The role of the Events Coordinator for Enrollment Management is to coordinate all Admission events. The minimum education requirement for this position is a bachelor’s degree from an accredited institution of higher learning.

The position requires the following:
  • Admission Events – plan events to include set-up requirements, reserving space requirements with eSPACE, complete work orders for the event, menu selection, request required equipment, tracking/reporting of events
o Open House events/Leadership & Scholarship Day/College Fairs/Emerging Leaders event
  • Private Visits – set up individual and group visits, and coordinate with different departments (financial aid, faculty, student ambassadors, and admission staff)
o Coordinate group visits with High School Guidance Counselors and different internal departments
o Create informational packets for each visit whether group or individual
o Responsible for notifying all parties (Executive VP, Athletics, Enrollment Management Team, student ambassadors) of weekly campus visits
  • Supervise Student Ambassadors including identifying, interviewing, hiring, scheduling work times, scheduling campus tours for visits, ordering necessary clothing, name tags, and business cards for the group/organizing and scheduling golf cart service for special events that require shuttle service/creation and updating of training material and training of student ambassadors
  • Serve as POC (Point of Contact) to all people visiting the Admission Office – answer all calls for the Admission mainline
  • Responsible for inventorying all supplies and making sure we have all recruiting materials
  • Record all campus visit activity in the admission CRM
  • Assist with getting mailing material put together and ready to be sent to the mailroom
  • Responsible for golf carts – maintaining them – issuing them out to other departments as needed and responsible for making sure everyone utilizing the golf carts is golf cart certified.
  • Responsible for Admission vehicles, scheduling necessary service, and state inspections, issuing them out to other departments as necessary, responsible for making sure all drivers are certified, and responsible for all gas credit cards and receipts associated with the vehicles
  • Responsible for Admission Outlook calendar – maintaining, adding/scheduling visits to the calendar with prospective student information
  • Provide campus tours as necessary
  • Assist with Emerging Leaders and Senator Leadership events
  • Assist with High School Award Ceremonies
  • Set up High School visits both for on-campus and off-campus
  • Responsible for Payroll – process timesheets for all student employment (Ambassadors and Call Center)
  • Other duties as assigned
Reporting Structure
  • The Events Coordinator for Enrollment Management will report to the Director of Student Recruitment and Success.
