Overview

The Ranch Events Complex is seeking a hardworking individual to join our team as an Event Coordinator I! This position assists and coordinates public and special event utilization of Fairgrounds facilities and buildings, focusing on larger coordinated events, regional, or national events. This includes assisting in marketing efforts of the Larimer County Fairgrounds complex, events, and activities.

The Ranch Events Complex has earned a reputation as one of the premier event and entertainment complexes in the region. The Ranch campus also includes the Budweiser Events Center, a 7,200 seat multi-purpose venue that is host to a variety of family shows, rodeos, comedy events, concerts, and the Colorado Eagles. Responsibilities

Specifically, this position:

• Exercises indirect or direct supervision over temporary events staff and/or assigned part time personnel.
• Meets with customers and potential customers to coordinate and assist with event planning including, but not limited to, equipment, food and beverage services, facility equipment and layout, ticketing, parking and traffic, and public awareness, to achieve the goals and objectives of the event and its customers.
• Assists with the planning and operations of campus-wide events as assigned.
• Serves as a resource to outside promoters in the promotion, marketing, and sales of events that are not County-sponsored to ensure their success and future business at The Ranch.
• Performs or supervises accounting and budgeting activities as assigned.
• Ensures all required contracts are authorized and approved; negotiates and makes modifications to contracts within scope of authority; confirms all events and reservations.
• Attends events and supervises activities; writes event reports; resolves event issues and complaints; makes last minute adjustments; ensures event is set up as contracted.
• Assists in preparing and distributing marketing materials for various events and functions.

We are looking for a candidate that will:

• Have event planning and coordination experience.
• Provide professional customer service to clients and the public.
• Have experience with contracts and contract administration.
• Develop effective and efficient procedures for the implementation of events.
• Act as an official representative of the County in a professional manner with local, state, and national agencies and organizations.
• Coordinate large numbers of individuals and groups using the facilities concurrently.
• Promote the use of The Ranch facilities during these events in a manner that best serves the interests of the residents of Larimer County.
• Organize material and present information clearly and concisely in verbal and written form.
• Prepare and maintain clear and concise charts and records.
• Have equine experience.

Qualifications

All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process.

• One (1) year of experience in a directly related field or in the performance of similar duties and responsibilities required.
• Equivalent to a Bachelor's Degree from an accredited college or university with major coursework in Marketing, Public Relations, Business Administration, or a related field required.
• Possession of, or ability to obtain, a valid Driver's License.

Supplemental Information

The typical schedule for this position can vary based on event schedules. This position will work a schedule that may include weekends, nights, and holidays and in varying weather conditions.

An offer of employment is contingent upon the successful completion of a pre-employment drug screen and background check. As marijuana is an illegal substance under federal law, testing positive for marijuana (medical or otherwise) or any other substance for which the county tests, will result in the contingent offer of employment being revoked. A successful completion of the drug screen is defined as obtaining a negative result.
