Executive Administrative Assistant

Responsibilities include:

  • Being a primary contact for client services, referring and coordinating work between clients, consultants, and account managers.
  • Support business development efforts with preparation of proposals, quotes, price structures, power point decks, coordination of meetings and travel as needed.
  • Responsible for constantly updating CRM system with business development activity.
  • Support the consulting with client related activities as assigned.
  • Prepare operations reports for sales & client services.
  • Handle incoming calls, emails, and visitors to discern interest and route to appropriate parties.
  • Support accounting team in the preparation of billing requests, ensuring timeliness and accuracy.
  • Other administrative duties as assigned.

  • Strong written and oral communication skills (English/Spanish).
  • Ability to build rapport and effectively interact with clients, prospects, partners, vendors, and staff.
  • Strong planning and organization skills, with a disciplined approach to work.
  • Ability to adapt to changing circumstances, multi-task, and work under pressure.

  • Confidentiality, judgment, and decision-making ability.
  • Attention to detail and accuracy.
  • Strong computer literacy, including MS-Office and CRM systems.

This is a full-time position to be performed hybrid with base in our Rio Piedras office. Some light travel may be required occasionally. A bachelor’s degree or equivalent and 5 years of relevant experience is required for this position. Base pay, plus bonus, health insurance allowance and PTO.
