Job Description:
The ideal associate will partner with the regional director (RD) and vice president(VP) of Advance Rehab Management Group (ARMG) to handle administrative tasks freeing up their time to focus on guiding the company based on the company’s mission, goals, and key performance indicators. This person will need to be a quick thinker and strong problem solver to adjust and adapt to a constantly changing physical/occupational therapy healthcare environment. They will need to be resourceful and mostly autonomous while taking on new work tasks and projects to make sure the company succeeds. As an extension to the RD and VP, this person will be pivotal in maintaining clear communication between the executives and the rest of the team as well as companies that ARMG partners with. They will be pivotal to the success of a well-run, efficient, productive and happy team.
Responsibilities:
· Create, modify, and export data reports from Epic to excel files in an easily read format for regional and clinic directors
· Create and modify therapist schedule templates in Epic for regular schedules and adjusting for scheduling changes, vacations, etc..
· Assist local new hires through on-boarding process with Mary Washington Healthcare and Advance Rehab Management Group.
· Managing the daily calendar of RD and VP of ARMG, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
· Sit in Mary Washington or ARMG hosted meetings and make notations for key points and/or minutes as directed by RD or VP
· Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences
· Coordinate travel arrangements
· Prepare professional business communication documents including memos, letters, and emails
· Build and maintain good business relationships with executives and staff across the region
· Participation in general administrative duties (copying and faxing), distributing mail, ad-hoc projects, committees and/or group events
· Assist the new patient intake coordinator with getting patients schedule at the clinic that provider convenience for the patient and efficiency of getting them scheduled in a timely manner.
· Assist corporate executive assistant in duties as assigned.

Basic Qualifications:
· High School Diploma, GED or equivalent certification
· At least 2 years of Administrative or Executive Assistant experience
· At least 2 years of experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
· Experience planning ahead and managing time effectively
· Excellent written and verbal communications
· Excellent organizational skills
· Strong problem solving skills
Preferred Qualifications:
· Associates Degree
· At least 5+ years of experience as an Executive Assistant or Administrative Assistant in a fast-paced environment
· At least 1+ year of meeting and event planning experience
· At least 1+ year experience in physical therapy or other health care setting
· Experience setting up video conference and Zoom/Skype technology for meeting user
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
