We have an outstanding opportunity for a seasoned Executive Assistant who will report to the Chief Executive Officer. This full-time, highly visible role requires acute attention to detail, excellent verbal and written communication skills, strong working knowledge of MS Office Suite products, and the ability to thrive in a fast-paced environment. A minimum of 4 years experience as an Executive Assistant in the Financial industry, is preferred.
GENERAL RESPONSIBILITIES:
The Executive Assistant will provide high-level administrative support to the Chief Executive Officer and other senior staff.
ESSENTIAL RESPONSIBILITIES:
Duties/Responsibilities:
  • Provides high-level administrative support and assistance to the Chief Executive Officer and/or other assigned leadership staff.
  • Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for senior staff.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Maintain continuity among work team by documenting and communicating actions, and continuing needs.
  • Support Chief Executive Officer by serving as a primary point of contact with employees, customers, and stakeholders.
  • May manage calendars, schedule appointments, arrange meetings, conferences, facilities, etc.
  • Compile and deliver monthly Board and Committee packages.
  • Attend Committee and Board meetings and take notes and prepare minutes.
  • Performs additional duties as assigned by executives.
MINIMUM QUALIFICATIONS:
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Strong reading, writing, grammar, and mathematical skills

  • Advanced ability to analyze, research and interpret data
  • High attention to detail
  • Above average organizational skills
  • Authorized to work in the United States
  • Reliable transportation.
  • Ability to read, write, and speak the English language.
  • High school diploma required, Bachelor’s degree in Business Administration or related field preferred.
  • At least four years of related experience required.
