The Hallie Q. Brown Community Center is hiring an Executive Assistant. The Executive Assistant will act as a coordinator for the day-to-day affairs of the Executive Director as well as providing support to the Leadership team. This position keeps organizational priorities through executive support, office administration, donor and board relations, calendar management and project support. We are looking for a candidate who is flexible, proactive, resourceful, and efficient with a high level of professionalism. This position calls for excellent interpersonal and communication skills as well as experience working with complex calendars and supporting multiple individuals.

SCHEDULE: 40 hours per week with a scheduled 30 minute lunch (at least). The schedule as planned could range from 9am-6pm, or 8am-5pm. This position is conducted fully in-person, with some nights and weekends possible needed as planned around the Executive Director’s schedule, board meetings, evening and weekend events, etc.

JOB RESPONSIBILITIES:

Administrative Functions

  • Provides executive and administrative support to the Executive Director, including managing expense reports and other paperwork.
  • Provides executive/administrative support to the organization’s leadership team.
  • Manages daily workflow of Executive Director including but not limited to: scheduling appointments, maintaining calendar, telephone, department and group meetings, expense reports, files, taking projects from start to finish, troubleshooting, problem solving and providing updates as necessary, conducting research and analysis, preparation of correspondence, reports and charts, managing calendar and schedule. Maintains files and records as appropriate.
  • Assists with staffing the Board of Directors and facilitating meeting logistics and details, including scheduling and administratively supporting the production of Board meeting information packets, etc.
  • Compile, transcribe, and distribute minutes of meetings.
  • Prepare responses to correspondence containing routine inquiries.
  • Anticipate and resolve meetings, logistics and task completion challenges for the Executive Director
  • Exercise discretion and good judgment in time management, meeting scheduling and external communications for Executive Director.

Employee and Guest Relations

  • Professionally represents HQB and/or Executive Director in various community engagement activities and meetings, as appropriate.
  • Acts as the point of contact between the Executive Director and internal or external colleagues and partners.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Supports and coordinates communications with internal and external parties.
  • Assist when needed on Events and Fundraising.
  • Supports Executive Director at meetings and events when appropriate
  • Support production of external communications

REQUIRED QUALIFICATIONS:

Education and Experience:

  • Bachelors’ degree with 5-10 years administrative experience, or equivalent combination of education and experience.
  • Previous experience acting as an Executive Assistant for a senior leader.
  • Interest in the human services nonprofit sector required; experience working in a nonprofit setting preferred, Rondo area knowledge desired.

  • Excellent organizational skills with strong attention to detail.
  • Ability to relate to people from diverse socio-economic and cultural backgrounds.
  • Ability to regularly work beyond a 40-hour week, when needed.
  • Exceptional time management, prioritization and project management skills; capable of handling a variety of projects simultaneously (mostly self-directed) in a timely manner to meet deadlines.
  • Ability to utilize discretionary decision-making and problem-solving skills.
  • Proactive, takes initiative and demonstrates ability to anticipate and manage issues.
  • Exceptional flexibility and proven ability to reprioritize work and schedules as needed.
  • Must be able to work effectively in a mission-driven agency whose clients and staff exhibit significant diversity with respect to race, ethnicity, gender orientation, socio- economic status, nationality, and religion.
  • Technologically savvy including high proficiency in MS Office Suite of products and ability to learn other products.

Licenses and/or Certifications:

  • Valid MN Drivers’ License, access to reliable transportation, and the ability to meet Hallie Q. Brown’s MACC’s driving record requirements.
  • Must have completed COVID-19 vaccination and/or will have completed the vaccine before starting; Hallie Q. Brown can provide vaccination resources if needed.
