The E-Commerce team is seeking an experienced Executive Assistant to the Chief E-Commerce Officer. This role will directly support the Chief E-Commerce Officer and senior leaders in this group. The E-Commerce team is a recently established and fast-growing global function within Hearst Corporate designed to support and accelerate E-commerce activities across the company. This is an exciting opportunity to work alongside a team of excellence-driven e-commerce business and technology professionals. The position is based in New York City, NY, United States, supporting a team that is split between Seattle, WA and New York City, NY.
This role requires someone who is an experienced, accountable professional with exceptional communication skills and meticulous attention to detail. It requires a highly organized, responsive, resourceful and motivated individual who is able to juggle and prioritize competing responsibilities in a in a fast-paced environment. The ideal candidate is flexible and agile in response to changing priorities and follows through and completes all tasks independently and with a sense of urgency.
Primary Responsibilities
- Independently perform complex administrative tasks in support of the Chief E-Commerce Officer, exercising high degree of judgment, diplomacy and discretion while handling sensitive information
- Proactively and expeditiously manage communications and manage the Senior Leader’s calendar in a thoughtful and timely manner, prioritizing conflicting needs when coordinating all meetings and calls
- Plan and coordinate meetings and events (e.g., team offsites, workshops, townhalls, etc.) including but not limited to attendee communications, venue, catering, preparation of program material and management of audio/video set-up as needed
- Track key initiatives by Chief E-Commerce Officer and proactively follow up on outstanding items as needed
- Provide a broad variety of administrative support to the Chief E-Commerce Officer and senior leaders on this team, including:
- calendar management
- arranging of local and international travel with complex itineraries and agenda
- management of expenses and reports, vendor contracts and invoice payments
- compiling and management of documents, including executive presentations
- preparing of correspondence and meeting notes
- Serve as back-up support for Hearst’s Chief Operating Officer
- Field inbound communications and exercise solid judgement in determining the appropriate resource to address the request.
- Understand company policies and procedures, written and unwritten, to ensure appropriate decision-making protocols are followed.
- Collaborate with other assistants in the office to ensure the executive team is supported and other priority obligations are met.
Qualifications
- 5-10+ years of experience as executive assistant to senior-level/c-suite executives
- Bachelor’s degree preferred
- Excellent interpersonal and communication skills with ability to communicate clearly and succinctly
- Exceptional attention to detail, proofreading and editing skills
- Ability to exercise sound judgment, and maintain high level of integrity and confidentiality
- Proficiency with Microsoft Office (PowerPoint, Word, Excel, Outlook) and experience or ability to quickly learn collaboration tools such as SharePoint, Microsoft Teams, Confluence, etc.
- Analytical and problem-solving skills
- Ability to handle competing demands in a high-pressure, dynamic environment
- Friendly and professional demeanor.
- Possess high-energy, intellectual curiosity, and sense of urgency
