The Executive Assistant will serve as the primary support on all matters pertaining to the property operations and office of the CEO. This individual also serves as a liaison to the department management teams, organizes and coordinates executive schedules, provides administrative support, and maintains an ongoing status of the CEO’s daily agenda and work projects. This individual must be a trusted member of the team, with the maturity, integrity, good judgment, and character to properly handle a wide range of matters, including those of a sensitive or confidential nature. The ideal individual will be able to work independently on projects, work under pressure at times and handle a wide variety of tasks.

We are seeking a dedicated superstar Executive Assistant to assist the CEO for a large nationwide property management company, headquarters located in Orange County, CA.
The Executive Assistant will serve as the primary support on all matters pertaining to the property operations and office of the CEO. This individual also serves as a liaison to the department management teams, organizes and coordinates executive schedules, provides administrative support, and maintains an ongoing status of the CEO’s daily agenda and work projects. This individual must be a trusted member of the team, with the maturity, integrity, good judgment, and character to properly handle a wide range of matters, including those of a sensitive or confidential nature. The ideal individual will be able to work independently on projects, work under pressure at times and handle a wide variety of tasks.
The EA will complete a variety of administrative tasks including but not limited to:
- Manage an extremely active calendar of appointments; completing expense reports; assembling reports; composing and preparing correspondence and confidential information.
- Arrange detailed travel plans, itineraries, and agenda and compiling documents for travel-related meetings.
- Manage CEO’s communication including, but not limited to, all inbound and outbound electronic mail communication and phone calls.
- Communicate directly, and on behalf of the CEO with select parties, as directed.
- Maintain computer databases, paper and electronic filing systems.
- Review, proof and analyze reports, policies, contracts, etc. and providing suggested changes and/or additional information as needed.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
What You Need for Success:
- College Degree Preferred.
- Minimum of 5+ years of relevant work experience ·Real Estate or Property Management experience a plus.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, business partners, executive and leadership staff.
- Strong computer and software knowledge: Microsoft office (Excel, PowerPoint, Word) calendar management software, Google docs, Zoom, etc.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks and attention to detail ·Requires strong computer and Internet research skills.
- Expert level written and verbal communication skills.
- Team-player, who is also an independent self-starter.
