Overview:

Transdev North America is seeking a dynamic Executive Assitant to provide administrative support to the CEO and select members of the executive team. This full-time office-based role is in the Greater Chicago area of Lombard. In this key role, the successful candidate will handle complex assignments using independent judgement and discretion, facilitate effective and efficient flow of information of the day-to-day operations as assigned.

Responsibilities:
  • Understands the annual business cycle and anticipates the executive’s needs regarding preparation for and scheduling of activities; manages executive calendars; schedules meetings, calls, and other interactions.
  • Schedules travel; completes expense reports in a timely manner.
  • Understands business etiquette; interacts and works successfully with senior leaders of customers and suppliers to ensure that customer needs are addressed while balancing an executive’s other responsibilities; researches solutions to questions and responds independently to email and phone inquiries.
  • Makes sound choices in ambiguous situations; solves issues with reason and calm in times of crisis.
  • Works with the executives’ staff to ensure that business decisions are made in a timely fashion while balancing the executives’ other responsibilities; schedules staff meetings; arranges meeting space or virtual meeting tools; develops staff meeting agendas and ensures that participants are prepared for the meetings; ensures that any follow-up actions resulting from the meeting are documented and completed.
  • Prepares documentation for payment of vendors, consultants, and suppliers; submits documentation and enters request for payments into accounting system; approves transactions; responds to inquiries from accounts payable and payees; may approve staff expense reports and other payment requests
  • Initiate, develop, lead, and participate in improvement processes; actively participates in team audits and resulting process improvements.
  • Understands the structure of the organization and maintains a strong network across departments.
  • Demonstrates the highest level of confidentiality in the execution of all responsibilities.
  • Other duties as required.
Qualifications:
Education, Licensing, and Certifications:
  • Associates degree or equivalent experience required
Experience:
  • Minimum of four or more years of executive administrative assistant experience required at the CEO/C-Suite level
Skills and Knowledge Required:
  • Ability to read, understand, and interpret instructions, policies, and procedures
  • Strong written and oral communication skills; ability to communicate with all levels within the organization.
  • Ability to organize and perform work efficiently; strong attention to details
  • Proficiency in MS Office application, specifically Outlook, Word, Excel and Powerpoint.
  • Basic math skills
  • Travel requirement (as a percent): <5% for occasional meetings
