Summary

The Human Resources (HR) function is seeking a highly experienced Executive Assistant to provide support to the Executive Vice President (EVP) – Human Resources and the Vice President (VP) Total Rewards and Human Resources Operations. This role will assist the EVP & VP with planning, execution, project management, and building a strong culture within the HR team. The candidate must be both proactive and adaptable to changing needs and expectations on a situational basis. This role requires a high level of confidentiality and sensitivity regarding company strategy, personnel, compensation, and human resources related data.


Responsibilities

  • Manages administrative daily details for the Executive Vice President and Vice President, including: calendar management, travel planning, expense management, presentation preparation and coordination of regularly scheduled and ad hoc meetings for the HR Leadership and Total Rewards and HR Operations teams as well as the entire global HR community.
  • Responsible for drafting and editing correspondences, such as employee announcements, company policies, and CHS leadership team communication.
  • Prepare professional PowerPoint presentations, extracting data and information from the HR system, Excel and Word for presentations to multiple stakeholders: the Board of Directors, Strategic and Enterprise Leadership teams, managers, and employees.
  • Responsible for excellence in meeting and event preparation, set-up, and follow-up, including preparing presentations/agendas/materials, documenting notes and coordinating follow-up items to completion.
  • Responsible for offsite space/meeting planning coordination and logistics.
  • Lead the coordination and implementation of the HR Recognition process
  • Orders and maintains office supplies.
  • Execute responsibilities using several platforms including, Office 365, the HR system (SAP Success Factors), OneDrive, Microsoft Teams, Microsoft Forms, Yammer, Concur, Coupa, Adobe Sign, TimeManager, Intelex
  • Own and update distribution lists including enterprise leadership team (ELT)
  • Manage HR office space in the company’s headquarter building
  • Support HR budget activity and tracking
  • Process invoices for the EVP HR and associated cost centers
  • Lead HR team initiatives such as participation in: food drive, giving campaign, volunteer and engagement team events
  • Works closely with internal Executive Administrative Assistants

Minimum Qualifications (required)

  • 7+ years of executive administrative support experience

Additional Qualifications

  • Experience providing executive level administrative support with a strong preference for previous experience in the Human Resources function
  • Strong organizational and time management skills; must be able to handle multiple time sensitive projects and prioritize heavy workload to complete projects on time.
  • Advanced skills in Microsoft Office applications.
  • Professional, interpersonal and communication skills with high degree of integrity and confidentiality, ability to interact with all levels in the organization, customers and business partners.
  • Self-starter, able to take initiative and ownership of projects and see through to completion with limited or no supervision.
  • Strong attention to detail and solid proofreading and editing skills.
  • Demonstrates sound judgment, deals calmly and effectively with high stress situations.
  • Solid business acumen.
  • Ability to adapt to changing needs and expectations on a situational basis, and be prepared to handle urgent business matters as needed
  • Ability to present information and respond to questions from groups of managers and employees
