Position Title: Executive Assistant
Location: Washington, D.C (hybrid)
Position Status: Full Time
Position Description:
Our client is looking for Executive Assistant candidates for a position located in Washington, D.C. As an Executive Assistant you will play a critical role in providing administrative support to the firms’ leaders. You will perform diversified administrative duties for a group of leadership team members including complex calendar management and meeting scheduling, coordination of global travel plans and thorough expense reporting. Frequent communication and collaboration with other EAs are critical to success.
Required Education:
Associates Degree or equivalent combination of training and experience
Role responsibilities and expectations:
- Schedule complex meetings both internal and with our clients; resolve scheduling conflicts quickly and prioritize issues to ensure an effective time management approach
- Collaborate with EA team to effectively coordinate and confirm global meetings and conference calls; communicate schedule changes to relevant people
- Coordinate frequent and detailed travel arrangements with the Travel team including air, hotel, car, etc. as business needs and personal preferences dictate
- Submit frequent and detailed expense reports; manage audit process to ensure proper reimbursement
- Receive, screen and/or route all incoming telephone calls, mail, publications, and correspondence and assist with correspondence, including drafting memos and emails as required
- Proactively support Partners in their relationship management by entering new CRM contacts and actively maintaining the accuracy of CRM contact information. Achieve mastery of the CRM system through attendance of training sessions and partner with
- the global/local marketing on contact audits, data campaigns and other relationship management efforts
- Interface with clients and all levels of staff; display high level of professionalism and discretion
- Provide occasional graphics assistance for client presentations using PowerPoint
- Contribute to EA team by providing back-up support to other EAs and collaborate to maintain good understanding of colleagues’ desks and responsibilities; participate in team related activities and events and act as a role model consistent with Operating Principles
- Contributes to in-person meetings, events and activities including collaboration with team members, colleagues, and leadership through planning and/or participation
- Perform other related duties as requested or as responsibilities dictate
- Skills:
- A minimum of five years’ direct executive assistant experience
- Outstanding written, interpersonal verbal communication skills
- Ability to independently solve complex problems
- Strong organizational and communication skills
- Meticulous attention to detail
- Demonstrated ability to meet deadlines, prioritize assignments and juggle multiple tasks
- Ability to handle highly confidential information
- Strong proficiency in Microsoft Windows, Word, Excel, PowerPoint, and Outlook
- Excellent team skills and customer service attitude
