Position Summary

The Executive Assistant, President’s Office is responsible for providing administrative support to the Board of Trustees and to the Office of the President, specifically for the Chief Compliance and Fair Practices Officer and Chief Diversity, Equity and Inclusion Officer.

Job Duties and Responsibilities

BOARD OF TRUSTEES:

Work collaboratively with the Special Assistant to the President to draft, organize, and distribute agendas for each monthly meeting of the Board of Trustees; update the calendar of meeting topics; maintain and populate Board meeting materials via the online portal; assist with the drafting of agenda items and supporting documentation; and communicate Board-related requests and inquiries to appropriate leadership and staff.

Draft and prepare minutes of the Board of Trustees public sessions, committee meetings, special sessions, and closed session meetings; distribute and post minutes on website and/or Board portal; and maintain files of the approved minutes and meeting materials.

Work collaboratively with the President’s Office, vice presidents and their staff, to schedule Board committee meetings and maintain and populate Board materials via the online portal.

Provide administrative support and organize the logistics for in-person and/or remote Board meetings, retreats, workshops and/or special sessions, such as room reservations, catering, A/V support, creating webinars, etc.

Maintain Board of Trustees contact information and related documents; make conference, hotel and travel arrangements for Board of Trustees members attending regional and national meetings and/or professional development opportunities; maintain Board roster with Board professional organizations; and work with Board of Trustees members to ensure completion and submission of required reports, disclosures, etc. as needed.

Utilizing a significant degree of creativity, work with the Special Assistant to the President to update appointments, presentations, materials, handbooks, Board Policy Manual, and Board of Trustees website.

Provide administrative support for special projects as assigned by the Board of Trustees and/or the President, as needed which will require the ability to analyze a wide variety of data to formulate recommendations.
Provide administrative and office support to the President’s Office, as needed, including event planning, phone coverage, and meet/greet visitors.

PRESIDENT’S OFFICE
Chief Compliance and Fair Practices Officer (CCFPO) and Chief Diversity, Equity and Inclusion Officer (CDEIO):

Manage the calendars for the CCFPO and CDEIO, making appointments and arranging conferences and meetings. Prepare and distribute meeting agendas as appropriate. Arrange for travel, transportation, and lodging as necessary.

Provide administrative support, including composing and editing correspondence, reports and other documents pertinent to their respective offices, including updating the compliance calendar, and assisting with the diversity committee and external community engagement.
Maintain budget account records, monitor accounts and prepare monthly reports to CCFPO and CEDIO; and submit invoices and payments for accounts for those offices.

Assist with the planning and organizing of events and trainings sponsored by the Office of Inclusion, Diversity, Equity, Access and Leadership (IDEAL), including reserving rooms, catering, and creating flyers and/or other marketing materials as needed.

Required Qualifications:

Associate's degree or higher

Minimum of five years of progressively responsible, executive-level administrative support experience.

Demonstrated organizational skills, ability to prioritize work flow to maximum efficiency, ability to work in a fast-paced environment with minimal supervision, attention to detail, accuracy and adherence to deadlines, acceptance of personal responsibility and having personal initiative to meet all requirements.

Excellent oral and written communication skills, including grammar, punctuation, spelling and proofreading skills; and the ability to communicate information clearly and accurately.

Proven record of maintaining confidentiality.

Ability to work collaboratively, in a team environment and be flexible to accommodate the schedule of Board of Trustees meetings and events.

Ability to communicate effectively with Board of Trustees members, students, faculty, administrators, and the general public in a tactful and courteous manner; must possess excellent customer service skills.

Advanced knowledge of a variety of software applications such as Microsoft Office (i.e. Word, Excel, PowerPoint), spreadsheets, email, Internet, and other programs as appropriate.
