Xpedition is one of the fastest growing marketing companies whose teams work closely with clients like Google, Discovery+, HGTV, McKinsey and Co., Juniper, and YouTube. We help companies resonate and connect with their audience by producing innovative and engaging events, videos, TV shows and branded content.

Due to our fast growth and incoming slate of new projects, we are looking for a polished, motivated, and caring Executive Assistant to support our CEO. The right candidate will be highly organized, trustworthy, and focused on helping our CEO stay on top of tasks and goals. You must be adaptable and can work under pressure at times while supporting the CEO in both personal and professional aspects. As a member of a production company that works for clients that drive needs and deliverables, our environment can be fast-paced and unpredictable at times. This person must be comfortable with and even enjoy the challenge of navigating situations with ambiguity and with fulfilling directions and needs that may change with little notice. A person with a positive attitude and a get-things-done disposition will do well in this role.

The Role:

  • Act as first point of contact for correspondences
  • Manage calendar and appointments, with special attention to prioritization
  • Fluent with travel arrangements (booking/changing/troubleshooting airfare, hotels, transfers, accommodations, etc.)
  • Plan and coordinate meetings, events, etc.
  • Take effective and detailed meeting minutes
  • Ensure CEO is on track with important tasks and deadlines
  • Ensure projects are on schedule
  • Liaising with staff, vendors, and clients
  • Manage personal/business errands
  • Takes ownership of their position to keep things running smoothly for the CEO

Requirements:

  • Google Workspace (highly fluent in Calendar and Mail): 2 years
  • Administrative experience: 3 years
  • Fluent with scheduling/Booking/Managing traveling logistics
  • CA Driver License, clean driving record, and own vehicle to run errands
  • Concierge service experience is a plus!

Travel:

  • May be required (approx. 1-4 times annually)

Work Schedule:

  • Monday - Friday with scheduling and work flexibility based on CEO's needs
  • Must be flexible for weekend and/or evening work as needed

Location:

  • This position is mostly remote but must be located in the Los Angeles area

Job Type: Full-time

Pay: From $65,000.00 per year
